As Sharon AI continues to scale, we’re looking for an experienced Legal Executive Assistant to provide high-level support to our Chief Legal Officer (CLO) and broader Legal team. This is a pivotal role at the intersection of executive support, legal operations and technology. You’ll help keep the legal function running smoothly by managing executive priorities, overseeing legal technology platforms, coordinating contract workflows and supporting corporate governance activities. Working closely with the CLO, in-house counsel and external law firms, you’ll play an integral role in enabling the legal team to operate efficiently in a fast-paced, high-growth AI business.

What You’ll Be Doing

  • Provide comprehensive executive support to the Chief Legal Officer, including complex diary management, inbox triage, correspondence and meeting preparation.
  • Own and administer Sharon AI’s Contract Lifecycle Management (CLM) platform, including workflow configuration, template management, e-signature routing and user support.
  • Coordinate the end-to-end contract process from intake through to execution, filing and renewal tracking.
  • Manage legal document and matter management systems, ensuring records are organised, accurate and easily accessible.
  • Prepare, proofread and format legal correspondence, contracts, board papers and other legal documentation to a high standard.
  • Support the Corporate Secretary with Board and governance activities, including meeting coordination, board papers, board portal administration and document distribution.
  • Coordinate outside counsel administration, including legal spend tracking, e-billing, invoice processing and matter management.
  • Act as a key liaison between the Legal team and internal stakeholders across Finance, People & Culture, Sales and Operations, as well as external law firms and vendors.
  • Maintain legal playbooks, precedents, policy registers and intranet resources.
  • Coordinate document execution, including signatories, notarisation and company seal processes where required.
  • Assist the CLO with executive reports, presentations and Board briefing materials.
  • Support corporate governance activities including ASIC filings and statutory registers.
  • Manage travel, expenses and event coordination for the CLO and wider Legal team.
  • Identify opportunities to improve legal operations through technology, automation, AI and process improvements.

What We’re Looking For

  • 5+ years’ experience as a Legal Executive Assistant, Legal Secretary or Executive Assistant supporting senior legal leaders.
  • Experience supporting a General Counsel, Chief Legal Officer or in-house legal team.
  • Strong experience administering legal technology platforms, including CLM systems, e-signature platforms and document management systems.
  • Exceptional organisational skills with the ability to manage multiple priorities in a fast-moving environment.
  • Excellent legal document formatting, proofreading and written communication skills.
  • Strong Microsoft 365 skills across Outlook, Word, PowerPoint and Excel.
  • Outstanding stakeholder management skills with the confidence to work closely with executives, Board members and external counsel.
  • High levels of discretion and professionalism when handling confidential and commercially sensitive information.
  • A proactive, solutions-focused mindset with a passion for continuous improvement.
  • Comfortable learning new technologies and leveraging AI to improve ways of working.

Highly Regarded

  • Experience within technology, AI, cloud infrastructure or data centre organisations.
  • Experience working in a fast-growth or scale-up environment.
  • Exposure to corporate governance, ASIC filings and company secretarial processes.
  • Experience using Board portal software such as Diligent or BoardEffect.
  • Experience with legal e-billing or legal spend management platforms.
  • Exposure to privacy, data protection or AI governance frameworks.
  • Justice of the Peace (JP) qualification.
