We are seeking an experienced Billing Assistant with a strong background with professional services billing to join our team. This role is critical to maintaining accurate, timely, and compliant invoicing, managing client accounts, and ensuring all financial transactions are processed efficiently. The ideal candidate will bring proven expertise in billing systems, payment processing, and account reconciliation, along with excellent communication skills and the ability to thrive in a fast-paced, deadline-driven environment.
Responsibilities
- Track and log billable hours for attorneys and legal staff across all active cases using the firm’s timekeeping and case management software.
- Prepare and issue invoices to clients in a timely and accurate manner, in accordance with case activity and billing agreements.
- Maintain and monitor payment plans for clients, ensuring compliance with terms and proactively following up on late or missed payments.
- Send payment reminders to clients and respond to billing-related inquiries in a professional and courteous manner.
- Collaborate with attorneys and staff to confirm time entries, clarify billing discrepancies, and ensure accurate client records.
- Review and reconcile billing data regularly to ensure all services and hours are accounted for and correctly categorized.
- Assist with collections as needed, including preparing statements and communicating with clients regarding outstanding balances.
Experience
- High school diploma or equivalent required; associate’s or bachelor’s degree in business, accounting, or a related field preferred.
- Prior experience in billing, accounting, or administrative work in a law office or professional services environment highly preferred.
- Familiarity with legal billing software (e.g., Clio, Timeslips, LEAP, PracticePanther, or similar) is a plus.
- Excellent attention to detail and strong organizational skills.
- Professional dress and personal grooming are required to reflect the standards and values of the organization.
- Ability to manage multiple tasks, prioritize effectively, and meet tight deadlines.
- Strong written and verbal communication skills.
- Discretion and confidentiality when handling sensitive client and financial information.
This position requires regular interaction with attorneys, paralegals, administrative staff, and clients. This is primarily an in-office role.
