Position Overview
We are seeking a detail-oriented Workers’ Compensation Legal Assistant to support our attorneys in handling workers’ compensation matters. The Legal Assistant will manage case files, coordinate with medical providers and insurers, prepare pleadings and discovery, and provide day-to-day client and administrative support to ensure timely, efficient case progression and strong client service.
Key Responsibilities
- Manage a caseload of workers’ compensation matters from intake through resolution, including opening and closing files and maintaining accurate case records.
- Draft and format pleadings, correspondence, motions, settlement agreements, notices, and subpoenas for attorney review and filing.
- Prepare and respond to discovery requests, organize and produce documents, and maintain discovery logs and privilege logs as needed.
- Obtain, review, organize, and summarize medical records, billing statements, IME reports, and vocational assessments; prepare concise medical chronologies and summaries for attorneys.
- Coordinate scheduling for depositions, hearings, mediations, IMEs, and medical appointments; manage court calendars and filing deadlines, including e-filing and service of process.
- Communicate professionally with clients, insurance adjusters, medical providers, opposing counsel, and third-party vendors to gather information and facilitate case resolution.
- Assist with settlement preparation, including demand packages, calculation of liens and offsets, preparing settlement drafts and closing paperwork.
- Track and monitor medical bills, liens (including Medicare and other lien resolution issues), benefits, and wage loss documentation.
- Prepare trial exhibits and assist attorneys during hearings and trials as needed; attend depositions, hearings, and mediations when required.
- Maintain case management systems, document management, billing entries, and timekeeping; ensure compliance with firm policies and confidentiality requirements.
Qualifications
- Bachelor’s degree; paralegal certificate is a plus!
- 1+ year of experience supporting workers’ compensation attorneys preferred; experience with personal injury matters is a plus.
- Familiarity with workers’ compensation law, procedures, and common forms and filings; understanding of medical terminology and records.
- Strong drafting, proofreading, and written/verbal communication skills; professional client-facing demeanor.
- Excellent organizational skills with the ability to manage multiple priorities, meet deadlines, and maintain meticulous attention to detail.
- Proficiency with legal case management software, e-filing systems, document management, and Microsoft Office (Word, Excel, Outlook).
- Experience coordinating with medical providers, handling medical record retrieval, and summarizing medical information for legal purposes.
- Ability to work both independently and as part of a collaborative team; commitment to maintaining client confidentiality and ethical standards.
- Preferred: bilingual skills or additional language proficiency and the ability to adapt in a fast-paced legal environment.
