Purpose
Provide high level administrative and litigation support to the Office of the Vice President for Legal Affairs, working as a team member in a very busy, dynamic executive level office with multiple on-going projects. Ability to exercise a high level of confidentiality is critical. Must be able to multi-task and manage a variety of projects with deadlines.
Responsibilities
Assist with daily operations of the Vice President for Legal Affairs litigation matters. Coordinate with University departments to collect and organize documents and information that are responsive to discovery requests and subpoenas for records as required by applicable Federal law, State of Texas law, Board of Regents’ Rules and Regulations, and University policies and procedures. Assist with preparation of litigation holds.
Provide support for executive level office operations that require exercising a high degree of initiative and judgment. Provide direct clerical support to attorneys as assigned, including coordination of complex executive-level calendars, travel, managing and organizing legal documents and information, correspondence, meeting preparation, and communications with other campus departments as well as outside of the University.
Complete cross-training and provide coverage on various administrative team responsibilities, as needed.
Assisting with document creation and review of education and healthcare related agreements., and assist in ensuring compliance with healthcare regulations. Review and edit legal and policy documents and ensure compliance with healthcare regulations, such as HIPAA.
Act as Receptionist for the unit, answering and directing phone calls to the appropriate staff member or attorney, including providing assistance and general information to the general public and campus community. Direct meeting participants to the various offices within the office. Assist with mail pick-up.
Supporting legal operations and business processes.
Other related functions as assigned. Occasional work week in excess of 40 hours may be required when working on special projects or during peak periods.
Assist in providing responsive documents to open records requests directed to the Legal Affairs office.
Required Qualifications
Bachelor’s degree and at least three years of clerical experience, including at least one year of experience at either the Administrative Assistant or the Administrative Associate level or High school graduation or GED, and seven years of clerical experience, including at least one year at the Administrative Associate level.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
Paralegal certification or seven years of clerical experience in a higher education legal environment.
Salary Range
$60,000 + depending on qualifications

Employment Eligibility:

Retirement Plan Eligibility:
The retirement plan for this position is Teacher Retirement System of Texas (TRS), subject to the position being at least 20 hours per week and at least 135 days in length.
