GENERAL DESCRIPTION:
The Wyoming Department of Corrections (WDOC) is now seeking a candidate for a full-time Office Support Specialist II in Field Services! This position performs various routine & detailed clerical & administrative functions to further the overall office operations of the Probation and Parole Offices.
The Field Services Division of the Department of Corrections conducts pre-sentence investigations and supervision of adult probationers and parolees in a community setting. This position also necessitates consistent, professional interaction with staff, offenders, victims, the public, the judicial system, law enforcement, local organizations, and public/private service providers.
** This position is open statewide except for the Casper and Cheyenne Field Service offices.

ESSENTIAL FUNCTIONS: The listed functions are illustrative only and are not intended to describe every function which may be performed at the job level.
Performs executive-level administrative and support duties.
Manages the day-to-day operations of assigned programs, projects, or functions between a variety of sources as well as the office maintenance and inventory; may provide oversight of a regional office.
Works closely with the Field Services Executive Support staff to oversee and update the Support Staff Manual.
Assists the hearing officers in preparing for, scheduling,g and ensuring all documents are received and processed for hearings.
Performs a variety of routine and specialized secretarial tasks as well as interacting with the public, offenders, all branches of the Judicial system, the Department of Corrections, and local, state, and federal law enforcement agencies. Confidentiality must be maintained as dictated by state statutes.
Assign and sets up in monitor incoming probation and parole cases.
Acquires confidential data from local, state, and federal sources to set up and activate new case files.
Obtain intake information from offenders/defendants, request ASI/ASAM (Addiction Severity Index/American Society of Addiction Medicine.)
Type and edit letters to victims, offenders, affidavits, investigations, legal and court documents, and other correspondence.
Maintain monthly caseload lists for District Supervisors, Agents, and all other local law enforcement agencies.
Performs leads and supervises various moderate to complex program and operational support duties.
Assists in budget development, analysis, interpretation, and recommendations. Performs audit functions.
Order, receive, and maintain office supplies, equipment, and postage.
Perform other job duties as required or assigned.
Qualifications
PREFERENCES:
Preference may be given to candidates with prior experience with the Judicial system or criminal justice exposure.
KNOWLEDGE:
Knowledge and skills in computer programs and use of copy machines, printers, digital cameras, scanners & other office equipment.
Knowledge of office procedures.
Knowledge of technical/corrections and legal terminology.
Knowledge of WDOC policies and procedures.
Working knowledge of the English language including spelling, vocabulary, grammar, sentence and paragraph structure sufficient to compose and edit specialized reports, letters, and other documents.
Ability to cope with constant interruptions, deadlines, and unexpected projects.
Ability to remain positive and professional with a wide variety of people and sensitive situations.
Ability to proofread and edit to ensure the accuracy of documents.
Ability to maintain composure under stressful, daily responsibilities.
Ability to maintain confidentiality and determine what information is confidential and what information can be shared with the public.
MINIMUM QUALIFICATIONS:
Education:
Associate’s Degree (typically in Business)
Experience:
0-2 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I
OR
Education & Experience Substitution:
2-4 years of progressive work experience (typically in Business Office Communications) with acquired knowledge at the level of an Office Support Specialist I

PHYSICAL WORKING CONDITIONS:
Typically, the employee may sit comfortably to perform the work; however, there may be some walking, standing, bending, carrying light items, driving an automobile, etc.
Special physical demands are not required to perform the work.
Candidate must complete defensive tactics skills KRAV-MAGA.
