SUMMARY
The Quality, Health, Safety and Environmental (QHSE) Professional is responsible for reviewing and verifying supplier documentation related to Safety and Health Programs requirements, ensuring compliance with AVETTA standards on behalf of clients and supplier in Japan. This may include conducting documentation reviews, engaging directly with suppliers, and supporting compliance efforts as required. By ensuring rigorous safety standards are met, the QHSE Professional plays a key role in supporting AVETTA’s commitment to excellence in health, safety and quality. The QHSE Professional will work under the leadership of the APAC QHSE Manager and will not have leadership responsibilities.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Conduct Safety Compliance Audits (SCA), Desktop Manual Audits, client specific audits and country specific audits (SCA) in Avetta Connect, to assess a Contractor’s Safety and Health Policies, Procedures, and Training documentation required based on exposure hazards associated with scope of works performed. The Audits are intended to ensure supply chain compliance with applicable Japan Industrial Safety & Health Laws (ISHL), Labor Standards, Building standards and Ministry of Health, Labour and Welfare (MHLW) legislation and any applicable client site requirements. In addition, the QHSE Professional will be responsible for the following:
- Conduct Safety Compliance Audits (SCA), Desktop Manual, Implementation, and/or Field QHSE Audits and guide suppliers with closing gaps or deficiencies from the audit.
- Assist suppliers with addressing gaps or deficiencies from the audit using Avetta QHSE Cares.
- Respond promptly to supplier inquiries.
- Record details of inquiries, comments, and escalations within the Suppliers Account Notes.
- Forward customer complaints or concerns to the QHSE Lead or Manager in a timely manner.
- Follow Avetta’s Professional standards with Avetta’s Priority Behaviors.
- Be available to travel to conduct WHS site audits – access to reliable transportation therefore required.
- Record details of enquiries, comments and complaints within Salesforce including handling talk desk inbound voice message
- Audits conducted by QHSE Professionals will be reviewed by the more experienced QHSE Lead and/or QHSE Manager APAC in the team to maintain audit quality and consistency. Random Quality Assurance reviews will also be performed by the QHSE Data Quality Team.
NON-ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Performs other duties as assigned by QHSE Manager APAC.
- May be required to attend training, meetings, or seminars and travel up to 30% of the time.
IDEAL EXPERIENCE, EDUCATION & TRAINING:
- Certifications: Certifications such as Safety Officer certification and Industrial Safety and Health Law (ISHL) Certifications.
- Experience:
- 3-5 years of relevant work experience within a safety profession
- Prior internship or academic experience in safety, compliance, or auditing is preferred but not required.
- Skills:
- Strong analytical skills with an eye for detail.
- Excellent written and verbal communication skills.
- Ability to work independently and manage multiple tasks effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with audit software/tools is a plus.
- Knowledge:
- Basic understanding of workplace safety principles and regulations.
- Awareness of safety practices in Japan is advantageous.
- Other Requirements:
- Ability to work across different time zones to accommodate regional suppliers.
- Japanese linguistic skills (e.g., Japanese (Nihongo))
- English linguistic skills
- Other linguistic skills are a plus (e.g. Korean, Chinese)
