About Us:
Arizona Fiduciary Services is a fiduciary firm specializing in trust administration, probate management, conservator ships/guardian ships, and estate oversight. We are committed to delivering personalized, ethical service to our clients. We are seeking a Paralegal / Administrative Assistant to support our team and help manage our growing caseload.

Responsibilities:

Prepare, draft, and file legal documents related to trusts, estates, and court matters.

Maintain accurate and organized case files and fiduciary records.

Assist fiduciaries with estate and trust accountings, inventories, and reports.

Manage deadlines, court dates, and client appointments.

Communicate professionally with clients, attorneys, courts, and financial institutions.

Handle general administrative tasks, including correspondence, filing, scanning, and billing support.

Monitor financial transactions and assist with account reconciliation for trust and estate matters.

Assist the fiduciary with day-to-day case management of clients.

Coordinate the signing, notarization, and recording of legal documents.

Qualifications:

Paralegal Certificate or an Associate’s degree is preferred, but at least 5 years of comparable work experience is also acceptable.

Minimum of 2 years’ experience in a legal, fiduciary, or estate planning environment.

Knowledge of probate, trust administration, and fiduciary duties is preferred.

Proficient in Microsoft Office (Word, Excel, Outlook), Adobe Acrobat, Google (Drive, Sheets, Docs), and legal practice management software.

Excellent organizational, written, and verbal communication skills.

Ability to handle confidential information with discretion and professionalism.

Preferred Skills:

Experience with fiduciary accounting and related software (e.g., Quick Books, Trust Accounting platforms).

Familiarity with court filing systems and probate procedures.

Notary Public certification (or willingness to obtain).

Schedule:

Monday to Friday, 9am-5pm. Must be available all day Friday and Monday.
