Overview:
Responsible for assisting supervisor with running all day-to-day operations as assigned, and makes all necessary preparations for meetings: maintains a calendar and schedule to provide supervisor with all pertinent scheduled appointments. Communicates effectively with others as assigned both in writing and orally. Conduct all initial research and provide information to the supervisor. Maintain all legal records in an organized, confidential way. Provides alert to supervisor regarding any management of potential concerns/issues. Ensures that all operations are conducted in a timely manner and within best practices based on established program practices and procedures. Highly effective and efficient with obtaining and maintaining operational records in alignment with the goals of the program.
Essential Duties and Responsibilities:
1. Possesses the ability to interact and communicate professionally, effectively, and conscientiously in both verbal and written formats in dealing with all legal matters.
2. Prepares written documents and sends form letters requesting various records; maintains record tracking of such requests.
3. Working knowledge of office equipment; proficient in MS Office.
4. General understanding of law office procedures.
5. Develops and maintains a calendar for the purpose of scheduling and organizing meetings and appointments; to avoid scheduling conflicts.
6. Excellent organizational and time management skills; responsible for preparations and plans for business/meetings and appointments.
7. Defines, implements, maintains and improves overall institution operational processes to attain maximum efficiency and outstanding customer service.
8. Provides input and offers suggestions to determine the effectiveness of services.
9. Maintains confidentiality and respect for information regarding all aspects of the job.
10. Performs other related duties as assigned by the supervisor
Peripheral Duties:
1. Attend meetings as assigned by the supervisor.
2. Willing to meet with clients to obtain and share information in alignment with the program goals.
3. Willing to provide administrative support to supervisor and clients.
Desired Minimum Qualifications:
Education and Experience
A.) REQUIRED: Office and Computer Skills (Word, Excel, Google Docs)
B.) Preferred: Prior experience working as a legal assistant.
C.) Preferred: At least three (3) years experience working in an office.
D.) Preferred: Paralegal degree
Necessary Knowledge, Skills and Abilities:
A.) Must have excellent verbal, written and communication skills.
B.) Must be able to develop and maintain an effective working system for the supervisor by developing and utilizing a system for scheduling appointments: calendar, etc..
C.) Working knowledge of current computer use and operation; working knowledge of modern office practices and procedures.
D.) Experience as a legal assistant.
Special Requirements:
A.) Must pass a pre-employment drug screen.
B.) Must pass a Louisiana State Police Background check.
C.) Must possess a valid Louisiana Driver’s License or the ability to obtain one.
D.) Must have access to reliable, personal transportation for use in the fulfillment of job duties.
Job Type: Full-time
Pay: $15.00 – $18.00 per hour
