Your Role

We are looking for a Legal Secretary to support our corporate law team at our firm. This position can be either full-time or part-time and is offered on a hybrid basis. As a member of our corporate law team, you will provide administrative and document support to lawyers and paralegals at our office.

Your key responsibilities will include:

  • Formatting, typing, and proofreading complex legal documents using Word, Excel, and PowerPoint;
  • Managing internal and client deadlines;
  • Preparing resolutions;
  • Preparing minute books;
  • Maintaining, closing, and purging files, and scanning and filing firm and client correspondence and legal documents into the firm’s client management software;
  • Ensuring diligent follow-up on a variety of department activities and files;
  • Creating, organizing, and maintaining databases and business records;
  • Adhering to the file opening process;
  • Scheduling meetings;
  • Answering calls and leads, distributing messages, setting up conference calls, sending and receiving emails, resolving issues as needed;
  • Opening, sorting, and distributing mail, and sending correspondence to clients;
  • Managing and transferring incoming calls at reception, and forwarding emails efficiently, courteously, and professionally;
  • Preparing and sending service contracts and estimates to clients;
  • Preparing closing binders;
  • Contacting clients regarding invoicing;
  • Maintaining lawyers’ calendars and coordinating agendas and meetings (internal and external), including supporting material preparation and attending to logistics;
  • Welcoming clients and other visitors at reception and answering their questions;
  • Accomplishing any other related administrative tasks, which require a good understanding of the firm’s business activities and department practices.

What We Are Looking For

  • Experience in a professional services environment (an asset).
  • Bilingual, written and spoken (French and English), given the firm’s clientele and mandates, with excellent grammar;
  • Mastery of the advanced tools of the Microsoft Office suite;
  • Ability to accomplish tasks for several people simultaneously with minimal supervision;
  • Ability to meet deadlines and work under pressure while remaining calm, including availability to provide support outside of usual business hours, if and when required;
  • Great attention to detail, working with rigor and discipline, with a strong professional work ethic, integrity, and confidentiality;
  • Team player who appreciates the dynamic of working as part of a group;
  • Discreet and professional;
  • Strong communicator, comfortable interacting with all levels of the organization;
  • Flexible, able to manage rapidly changing and time-sensitive demands;
  • Autonomous and self-driven;
  • Excellent at identifying and managing priorities;
