Job Description
Position Summary
The Receptionist/Administrative Assistant is responsible for providing secretarial, clerical, and administrative support to
ensure services are provided in an effective and efficient manner. Staff is responsible for assisting with client service‐
related issues and answering a heavy volume of phone calls. Staff must always be courteous, personable, and work in a
professional manner. Other duties assigned as needed.
Role and Responsibilities
Is responsible for providing secretarial, clerical, and administrative support to ensure services are provided in an
effective and efficient manner.
Is responsible for the organization and maintenance of the front desk and reception area, as well as assisting
management and staff with administrative tasks.
Is responsible for greeting clients and staff in a professional and courteous manner.
A critical function of the position is ensuring clients are screened and transferred to the appropriate department or
referred out for services.
Assists with scheduling clients, reserving space for services and with other client related matters as requested.
Assists with ensuring client and staff surveys are sent out and completed.
Assists with ensuring staff calendars are completed weekly.
Assists with Psychiatry, Free Legal Clinic, MAT Program or other items as needed.
The staff uploads documents and information securely into the Agency’s enters information into the Agency’s
Electronic Record System.
The staff is responsible for handling multiple phone lines and calls, reviewing/sending emails, and memos, managing
faxes, sorting through mail, and assisting with maintaining a warm, clean, and welcoming office setting.
Is responsible to maintain the kitchen and building in order.
Staff reports and ensures clear and concise communication with supervisor or management when an urgent matter or
crisis occurs.
Staff meets with supervisor regularly for supervision and to be updated on agency protocols and needs.
Is responsible for sending out the site’s capacity report, client list, and clinical hour log on a weekly basis.
Announces and arranges with the site super visor on the monthly birthday celebrations.
Special projects and other duties may be assigned as needed.
Assist the DCFS program with staff calendar reminders and other duties necessary.
May be required to work weekends or after hours.
Assists with outreach fairs, staff meetings, focus groups or other events.
Performs other duties as needed.
Qualifications and Education Requirements
AA degree, High school degree or its equivalent.
Bilingual (English/Spanish) with excellent oral and written communication skills.
Must have great organizational skills, be detail oriented and a self‐starter with the ability to multitask.
The ideal candidate should be personable and have experience in the social services field with familiarity in the mental
health field.
Job Description
Candidate needs to be motivated and able to communicate effectively, and efficiently, both verbally and in written
format.
Strong computer literacy including Microsoft Word, Excel, Access, Adobe PDF, Outlook, Google Drive, Internet, and other
standard equipment.
Must clear HIPAA Certification, Department of Justice, and TB clearance.
Must have a reliable vehicle/access to transportation, valid California driver’s license, and be responsible for all liability
on vehicle.

Candidates must be able to work effectively with their team and Manager, demonstrate adaptability, and can accomplish program goals
and objectives. Candidates should demonstrate empathy, courtesy, interest, and a willingness to adhere to safety rules, as well as
computer, email, Internet, and dress code policies. Must have valid California driver’s license and use of personal vehicle that has
liability car insurance. Candidates will receive their required BBS supervisory ratio for client services provided.

interventions and applied behavioral analysis.
