Position Overview
We are seeking a detail-oriented, professional Receptionist/Administrative Assistant to serve as the frontline representative of our firm while providing comprehensive administrative support to our legal team. This position offers an excellent opportunity to gain valuable experience in a law firm environment with potential for career advancement.
Primary Responsibilities
Manage the reception area and serve as the first point of contact for all office visitors and incoming calls
Screen and direct calls to appropriate staff members with a professional and courteous demeanor
Schedule and coordinate appointments, meetings, and conference calls for attorneys and staff
Maintain office calendars and coordinate travel arrangements when necessary
Process incoming and outgoing mail and handle courier deliveries
Maintain a clean, organized reception area and conference rooms
Manage office supplies inventory and place orders as needed
Assist with basic file management and document organization
Handle incoming and outgoing correspondence
Provide administrative support for case preparation, including research assistance
Coordinate office events and catering when required
Perform general clerical duties including photocopying, scanning, and filing
Run errands for the firm as needed, including document delivery
Assist with client intake procedures and maintaining client information
Requirements
High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
Previous reception or administrative experience preferred but not required for exceptional candidates
Excellent verbal and written communication skills
Strong organizational abilities and attention to detail
Proficiency with Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
Ability to maintain confidentiality with sensitive information
Professional appearance and demeanor
Reliable transportation for occasional errands
Ability to multitask in a fast-paced environment
Basic understanding of legal terminology (preferred but not required)
Knowledge of legal office procedures (preferred but not required)

Hours and Work Environment
Monday to Friday, 9:00 AM to 5:00 PM
Occasional after-hours work may be required for special projects or deadlines
