Job Discripton
Yunus Muhammad PC is seeking an experienced Estate Planning (EP) Legal Assistant to join our growing estate planning practice. This is a fully remote, part-time position for a dependable professional who is highly organized, detail-oriented, and comfortable taking ownership of matters within an established process.
This is more than a task-based legal assistant position. We’re looking for someone who can take ownership of their work, become a trusted member of the team, and help ensure that every estate-planning matter moves efficiently and accurately from intake through document production and client follow-up.
The ideal candidate enjoys working independently, is comfortable managing multiple matters at different stages, and takes pride in keeping clients, attorneys, documents, and deadlines organized.
Responsibilities
As the Legal Assistant (EP), you will help manage the firm’s estate-planning matters from client intake through draft revisions and post-production follow-up. Responsibilities include:
- Manage estate-planning matters through the entire scope of the workflow.
- Review client questionnaires for completeness, consistency, and missing information.
- Draft each client’s estate plan documents according to their individual needs, using the firm’s template library.
- Conduct document revisions and corrections.
- Maintain accurate matter stages, tasks, deadlines, and notes in the firm’s client retention management (CRM) software Clio.
- Communicate with clients regarding outstanding information, scheduling, and additional follow-up questions.
- Bill matters in Clio and external legal insurance sites.
- Proactively advance matters through stalls, missing information, and workflow issues.
- Escalate substantive legal questions and planning decisions to the responsible attorney.
- Provide daily reporting on case progress, outstanding items, and issues requiring attorney attention.
- Follow detailed, multi-step SOPs while maintaining a high standard of accuracy and client service.
Requirements
- 3–5 years of legal assistant or comparable law-firm experience
- Bachelor’s degree required
- Estate planning or related experience strongly preferred
- Exceptional attention to detail and ability to identify inconsistencies or missing information
- Strong written and verbal communication skills
- Excellent organizational and deadline-management skills
- Ability to independently manage multiple active matters without constant supervision
- Strong judgment regarding when an issue should be handled administratively and when it should be escalated to an attorney
- Comfortable following established SOPs while identifying opportunities to improve processes
- Comfortable working independently in a technology-driven remote law firm
- Experience with Clio or similar legal CRM software preferred
- Proficiency with Microsoft 365 and cloud-based document-management systems
Schedule & Compensation
This is a part-time position of approximately 20–25 hours per week. The position offers scheduling flexibility, although consistent weekday availability and reasonable overlap with Pacific Time business hours are required for client and team communication. Competitive pay, commensurate with experience.
After the first 90 days, the Legal Assistant will be eligible to participate in the firm’s performance bonus program, based on measurable standards including case progression, responsiveness, file quality, caseload management, and overall performance.
The position also offers an opportunity for increased responsibility over time, including mentoring and helping lead additional members of the estate-planning support team.
