Position Summary

We are seeking a motivated and detail-oriented Legal Assistant to join our team. The Legal Assistant will work closely with attorneys and other members of our legal team to help manage cases, communicate with clients, prepare legal documents, and ensure that cases move forward efficiently.

The successful candidate will understand that a Legal Assistant is an important part of the attorney-client relationship. You will frequently be one of the first points of contact for our clients and will play an important role in making sure they receive timely, professional, and compassionate service.

Key ResponsibilitiesCase Management & Legal Support

  • Assist attorneys with the day-to-day management of criminal defense and DUI cases.
  • Organize and maintain electronic and physical case files.
  • Review, organize, and upload discovery, police reports, evidence, photographs, videos, and other case-related documents.
  • Assist attorneys with preparing for court appearances, hearings, meetings, and trials.
  • Monitor case deadlines, appointments, court dates, and other important events.
  • Assist with preparing and filing legal documents, pleadings, notices, motions, and correspondence.
  • Prepare and organize documents for attorney review and signature.
  • Assist with obtaining records and other information necessary for case preparation.
  • Ensure case files are accurate, complete, and maintained in accordance with firm procedures.
  • Enter and update case information in the firm’s case management systems.

Client Communication

  • Communicate with clients by telephone, email, text message, and other approved methods.
  • Respond to routine client questions and requests in a timely and professional manner.
  • Obtain information and documents from clients needed for their cases.
  • Follow up with clients regarding outstanding documents, appointments, payments, court requirements, and other case-related matters.
  • Communicate professionally with courts, prosecutors’ offices, law enforcement agencies, opposing counsel, and other legal professionals when appropriate.
  • Maintain confidentiality and exercise sound judgment when handling sensitive client information.

Scheduling & Administrative Support

  • Assist attorneys with managing calendars and scheduling appointments.
  • Coordinate meetings, client appointments, court-related events, and other commitments.
  • Assist with tracking attorney deadlines and ensuring important tasks are completed on time.
  • Prepare correspondence, forms, and other administrative documents.
  • Assist with scanning, copying, filing, mailing, and other office responsibilities as needed.
  • Work collaboratively with attorneys, legal assistants, administrative staff, and management to keep cases and office operations running efficiently.

Team & Firm Responsibilities

  • Follow established firm procedures and contribute to maintaining consistent, high-quality service.
  • Communicate effectively with other members of the legal team regarding case status and outstanding tasks.
  • Take initiative to identify problems before they become larger issues.
  • Maintain a professional and positive attitude in a fast-paced environment.
  • Be willing to learn new technology, systems, and procedures.
  • Contribute to a team culture focused on professionalism, accountability, client service, and continuous improvement.

Required Qualifications

  • Previous experience as a Legal Assistant, Legal Secretary, Paralegal, or in a comparable administrative position is preferred.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and exceptional attention to detail.
  • Professional and confident telephone etiquette.
  • Ability to prioritize and manage multiple tasks in a fast-paced environment.
  • Ability to work independently while also functioning effectively as part of a team.
  • Strong computer skills and the ability to learn new software and technology quickly.
  • Ability to maintain confidentiality and handle sensitive information appropriately.
  • Professional demeanor and strong commitment to providing excellent client service.
  • Reliable attendance and a strong work ethic.

Preferred Qualifications

  • Previous experience in criminal defense or DUI law.
  • Familiarity with Arizona courts and legal procedures.
  • Knowledge of legal terminology and common legal documents.
  • Experience with legal case management software.
  • Experience preparing or filing court documents.

Job Type: Full-time

Pay: $24.00 – $27.00 per hour
