What You Will Do:

We’re looking for a detail-oriented, highly organized, and proactive Legal Assistant to support attorneys in transactional matters, with a focus on commercial lending, while also assisting with client intake and outreach efforts. In this role, you’ll help draft and prepare loan documentation, manage projects, coordinate closings, and serve as an initial point of contact for prospective clients.

You’ll play a key role in keeping transactions on track, ensuring deadlines are met, and maintaining seamless communication between attorneys, paralegals, clients, lenders, and other third parties.

This role is perfect for someone with strong writing, proofreading, and communication skills who thrives in a fast-paced environment. You’ll need to be efficient at multitasking with great attention to detail—organization is key!

This position reports to multiple attorneys and to the Human Resources Manager.

Responsibilities:

  • Perform secretarial and project management duties, supporting attorneys and paralegals with drafting, reviewing, and organizing transactional documents.
  • Draft, revise, and proofread commercial lending and loan documents, including loan agreements, promissory notes, security agreements, and related closing documents.
  • Assist attorneys in preparing and organizing loan closing packages, including checklists, signature pages, and final executed documents.
  • Coordinate with clients, lenders, title companies, and internal teams to facilitate smooth execution of loan transactions and closings.
  • Conduct client intake processes, including gathering preliminary information, opening new matters, and ensuring accurate documentation of prospective client details.
  • Assist with outreach efforts, including making and responding to calls with prospective clients, following up on inquiries, and helping maintain a pipeline of new business opportunities.
  • Manage the day-to-day flow of office work, ensuring timely and accurate work product.
  • Coordinate with support personnel and departments to meet deadlines; prioritize multiple assignments from several attorneys and paralegals.
  • Produce and distribute correspondence, memos, transmittals, and transactional documents.
  • Perform administrative tasks including scheduling meetings, arranging travel, maintaining files, interacting with clients, and supporting firm committees.
  • Create and organize files according to firm guidelines, including maintaining transaction files and closing binders.
  • Back up paralegals by assisting with drafting correspondence and loan documentation and conducting informational or follow-up communications.
  • Prepare and oversee final loan documents for execution and closing; create indexes and closing binders.
  • Perform calendaring tasks by tracking deadlines and key transaction milestones.
  • Assist with preparing documents for closings and organizing closing transcript books and attorney binders.
  • Provide backup support to other Legal Assistants as needed.
  • Perform other tasks as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Notary public certification required.
  • At least 2 years of legal assistant experience in a transactional or business practice area; commercial lending experience preferred.
  • Familiarity with loan documentation and financial transactions strongly preferred.
  • Knowledge of document management systems such as ProLaw preferred.
  • Proficiency with Microsoft Office (Word, Excel, etc.).
  • Strong organizational skills and attention to detail.
  • Ability to work independently, manage large workloads, and meet deadlines.
  • Strong writing, proofreading, and communication skills.
  • Good typing skills.
  • Professional demeanor and excellent interpersonal skills.
  • Ability to maintain strict confidentiality.
  • Reliable attendance.
