A Global law firm with offices in Manhattan is seeking a Legal Assistant to support a Group Head and their team of attorneys. Duties will include managing calendars, scheduling appointments, handling legal correspondence, preparing documents, and assisting with the preparation of legal filings. Must have experience out of a larger, global firm.

Hours: 9:30 am – 5:30pm

Fully onsite

Pay: $40-50/hr, potential to convert to a salaried position

Responsibilities

  • Provide specialized administrative support to Group Head and attorneys
  • Assist with document preparation, client communication, and scheduling tasks
  • Ensure confidentiality and professionalism in all client and firm matters
  • Support the Group Head in daily operations
  • Liaise with other teams and departments as needed for seamless coordination
  • Prepare and manage complex legal documents and correspondence
  • Handle scheduling, travel arrangements, and expense reporting efficiently
  • Maintain up-to-date client and matter records for assigned attorneys
  • Provide backup support to other team members when necessary
  • Coordinate client billing and review prebills for accuracy
  • Assist with court filings and document preparation for state court cases
  • Maintain and organize client files, ensuring timely updates and storage
  • Provide excellent client service and maintain professional relationships
  • Create and update desk instructions for assigned attorneys
  • Support administrative tasks such as mail processing and file maintenance
  • Collaborate with team members to ensure efficient workflow and task completion

Requirements

  • Bachelor of Arts (BA) degree or equivalent education and experience
  • Minimum of 5 years of experience as a Legal Executive Assistant in a law firm
  • Proficiency in MS Word, Outlook, Excel, and legal document management systems
  • Strong organizational skills with attention to detail and precision
  • Excellent verbal and written communication skills
  • Ability to manage multiple priorities in a fast-paced environment
  • Experience in Trusts and Estates practice area preferred
  • Valid Notary Public commission or willingness to obtain one
