Fitzpatrick Lentz & Bubba, P.C. (FLB), one of the largest law firms in the Lehigh Valley, is seeking an experienced Legal Administrative Assistant to join our team.
This position will provide day-to-day administrative support to attorneys and legal professionals across one or more practice areas. We are looking for someone who is organized, responsive, comfortable managing competing priorities, and able to anticipate what needs to happen next.
The Legal Administrative Assistant plays an important role in keeping matters organized, deadlines on track and attorneys responsive to clients. This is a strong opportunity for an experienced legal administrative professional who values ownership, teamwork and high-quality work.
Key Responsibilities
- Provide comprehensive administrative support to assigned attorneys and legal professionals.
- Prepare, format, proofread and finalize correspondence, legal documents, agreements, pleadings and other materials.
- Maintain attorney calendars, including client meetings, deadlines, hearings, closings, depositions and other appointments.
- Coordinate meetings, conference calls and other matter-related scheduling.
- Communicate professionally with clients, courts, opposing counsel and other outside parties regarding administrative and scheduling matters.
- Open new matters and assist with client intake, conflict checks, engagement documentation and related administrative processes.
- Maintain accurate and organized electronic client and matter files.
- Save, categorize and profile documents within the firm’s document management system.
- Assist with court filings, recordings and other submissions as required by the assigned practice area.
- Track deadlines, outstanding items and follow-up obligations and help ensure matters continue to move forward.
- Assist attorneys with time entry, billing review and other routine financial or matter-management questions.
- Prepare and organize materials for meetings, hearings, closings, depositions and other proceedings.
- Coordinate signatures, document distribution, mailings and deliveries.
- Assist with matter closing and records-retention procedures.
- Answer and route telephone calls and respond appropriately to routine client inquiries.
- Work collaboratively with attorneys, paralegals and administrative departments to address day-to-day needs and resolve administrative issues.
- Provide backup and overflow support to other members of the administrative team as needed.
Qualifications
- 3+ years of legal administrative or law firm experience preferred.
- Experience supporting attorneys in a professional legal environment.
- Excellent organizational skills and strong attention to detail.
- Strong proofreading, grammar and document-formatting skills.
- Excellent written and verbal communication skills.
- Demonstrated ability to manage multiple attorneys, matters, priorities and deadlines.
- Strong follow-through and the ability to anticipate needs and take ownership of assigned responsibilities.
- Professional and confident communicating with clients and outside parties by telephone, email and in person.
- Proficiency with Microsoft 365, including Word, Outlook, Excel and PowerPoint.
- Experience with legal document management, timekeeping, billing or practice management systems preferred.
- Ability to learn new technology and firm processes quickly.
- Sound judgment and discretion when handling confidential or sensitive information.
- Ability to work independently while remaining responsive and collaborative within a team environment.
