Our client is seeking an experienced Legal Assistant to support a dynamic and fast-paced intellectual property practice. This role fills an existing vacancy and requires a minimum of 5 years’ experience as a legal assistant in an Intellectual Property group.
Key Responsibilities
- Draft, prepare, format, and revise correspondence and submissions for IP Offices in Canada, the US, and internationally (CIPO, USPTO, WIPO), including office action responses.
- File submissions via fax, courier, and online tools, including cover letters, fax cover sheets, and fee payment forms.
- Manage lawyer’s prosecution and regulatory practice, including delegating tasks, conducting drug/patent searches, drafting PM(NOC)-related documents, and preparing Health Canada/OPML correspondence.
- Track and manage all deadlines across active files using docketing software; generate reports and ensure data accuracy.
- Liaise with CIPO and USPTO to resolve file inquiries, status updates, and paperwork changes.
- Maintain physical and electronic IP files, ensuring all documentation and correspondence are current.
- Support client billing, including reviewing prebills, managing billing instructions, and processing expense reports and payments.
- Conduct patent, trademark, and design searches using domestic and foreign databases.
- Provide backup support to team members and contribute to a collaborative team environment.
Requirements
- Minimum 5 years’ experience as a Legal Assistant in an IP group.
- Strong knowledge of IP law with ability to stay current on legislative changes.
- Exceptional attention to detail, written/oral communication, and time management skills.
- Proactive, adaptable, and reliable with a high level of discretion.
- Client-focused with the ability to work independently and within a team.
