Role Summary

This role supports the Office Manager in running the people function of Aetosky's Vietnam Development Centre. The focus is practical: keep recruiting running, ensure payroll and HR administration is accurate and compliant, and help embed the culture and policies that group management defines. This is a hands-on, execution-focused role. The HR Executive works closely with the Office Manager and takes direction from group management on culture and policy. The expectation is high reliability, good judgment, and the ability to operate independently on day-to-day HR tasks.

Key Responsibilities

1. Recruiting & Talent Acquisition

• Manage end-to-end recruiting for open roles at the Vietnam Development Centre – from job posting to offer

• Source candidates through job boards, LinkedIn, referrals, and local talent networks (universities, tech communities)

• Screen CVs, coordinate interviews, and manage candidate communication professionally • Maintain a running talent pipeline for key technical roles – proactively, not just when roles open

• Coordinate with hiring managers and the Office Manager to align on role requirements and timelines

• Track recruiting metrics: time-to-fill, pipeline status, offer acceptance rates

• Manage relationships with external recruiters or staffing agencies when used

2. Payroll & HR Administration

• Coordinate monthly payroll inputs – attendance, leave, overtime, deductions – with the Office Manager and payroll provider

• Ensure payroll is accurate and processed on time every cycle

• Maintain employee records: contracts, personal information, benefit enrolments, and documentation

• Handle onboarding paperwork and offboarding clearance for all staff

• Manage leave tracking, insurance enrolment, and statutory compliance requirements under Vietnamese labour law

• Liaise with local HR service providers, insurance vendors, and government bodies as needed

• Flag any payroll discrepancies, compliance issues, or HR risks to the Office Manager early

3. Culture & Policy Implementation

• Support the Office Manager in communicating and embedding company policies across the Vietnam team

• Ensure staff are informed of policy updates, expectations, and any changes from group management

• Help build and reinforce a professional, disciplined, and positive work culture consistent with Aetosky's standards

• Coordinate team engagement activities, recognition moments, and culture-building initiatives as directed • Act as a first point of contact for staff questions on HR policies, benefits, and workplace matters – escalating to the Office Manager as needed

• Support the Office Manager in handling HR-related concerns, grievances, or discipline matters in a fair and professional manner

4. HR Operations & Reporting

• Maintain clean, up-to-date HR records and documentation for all staff

• Prepare regular HR reports for the Office Manager and HQ: headcount, leave balances, hiring pipeline, payroll summary

• Support audits, compliance reviews, or any reporting requested by group management

• Identify process gaps in HR operations and suggest improvements

Requirements

Experience

• 3–6 years of HR experience, ideally in a tech, software, or engineering environment

• Hands-on experience with end-to-end recruiting – not just coordination, but owning the process

• Familiar with Vietnamese labour law, payroll processing, and statutory HR compliance

• Experience working with payroll software or external payroll providers Skills & Attributes

• Highly organised with strong attention to detail – especially on payroll and documentation

• Good communicator in both Vietnamese and English (written and spoken)

• Comfortable handling sensitive employee matters with discretion • Proactive and self-managing – able to track tasks and deadlines independently

• Collaborative: works well with the Office Manager, team leads, and HQ
