Mimak Services is recruiting on behalf of a well-established Toronto law firm. We are seeking an experienced HR Administrative Assistant for a permanent, full-time position with our client.
About the Role
You will provide administrative support to an HR team of 5 professionals, helping ensure smooth and efficient operations across the department. This role requires strong organizational skills, sound judgment with confidential information, and the ability to manage competing priorities in a fast-paced legal environment.
Key Responsibilities
- Maintaining and updating employee records and files
- Scheduling and coordinating interviews, onboarding sessions, and internal meetings
- Answering and directing incoming calls and emails
- Preparing and distributing HR documents including offer letters and employment contracts
- Supporting onboarding and offboarding processes
- Conducting research and compiling data for HR projects and reporting
- Collaborating with other departments to ensure HR processes align with firm policies
- Handling confidential information with professionalism and discretion
- Staying current with Ontario employment legislation and HR compliance requirements
Qualifications
- Bachelor's degree in Human Resources or a related field
- Minimum 10 years of experience in an HR administrative role
- Proficiency in Microsoft Office and HRIS software
- Strong knowledge of Ontario HR laws and employment regulations
- Excellent organizational skills and ability to manage a high-volume workload
- Strong written and verbal communication skills
- High attention to detail and accuracy under deadline pressure
- Demonstrated ability to handle sensitive information with discretion
