Mimak Services is recruiting on behalf of a well-established Toronto law firm. We are seeking an experienced HR Administrative Assistant for a permanent, full-time position with our client.

About the Role

You will provide administrative support to an HR team of 5 professionals, helping ensure smooth and efficient operations across the department. This role requires strong organizational skills, sound judgment with confidential information, and the ability to manage competing priorities in a fast-paced legal environment.

Key Responsibilities

  • Maintaining and updating employee records and files
  • Scheduling and coordinating interviews, onboarding sessions, and internal meetings
  • Answering and directing incoming calls and emails
  • Preparing and distributing HR documents including offer letters and employment contracts
  • Supporting onboarding and offboarding processes
  • Conducting research and compiling data for HR projects and reporting
  • Collaborating with other departments to ensure HR processes align with firm policies
  • Handling confidential information with professionalism and discretion
  • Staying current with Ontario employment legislation and HR compliance requirements

Qualifications

  • Bachelor's degree in Human Resources or a related field
  • Minimum 10 years of experience in an HR administrative role
  • Proficiency in Microsoft Office and HRIS software
  • Strong knowledge of Ontario HR laws and employment regulations
  • Excellent organizational skills and ability to manage a high-volume workload
  • Strong written and verbal communication skills
  • High attention to detail and accuracy under deadline pressure
  • Demonstrated ability to handle sensitive information with discretion
