Job Summary

This position located in Cincinnati, Ohio will support the state regulatory attorneys in the Office of General Counsel, with a focus on regulatory matters before the Kentucky Public Service Commission, provide coverage with matters before the Public Utilities Commission of Ohio, and will assist with regulatory matters before the Indiana Utility Regulatory Commission (Commissions), among other duties and attorneys as assigned. Job duties and responsibilities include, but are not limited to, the following:

Responsibilities & Duties
Edit, proofread, and format legal documents such as petitions, applications, testimony, discovery, settlement agreements, and exhibits
Draft simple cover letters under little direction with attention to detail and accuracy
Assist paralegals and attorneys with review, proofreading, and final quality check of regulatory pleadings and exhibits before filing with the Commissions e-filing systems
Maintain attorney calendars and track regulatory docket deadlines using Outlook and SharePoint; schedule appointments, internal/external meetings; make decisions on priorities and update calendars; arrange and coordinate all business travel, luncheons and/or dinner logistics.
Maintain information of a highly confidential nature and ensure confidentiality utilizing the Adobe Pro redaction tool
Labeling voluminous documents within Adobe Pro and Excel
Prepare electronic filing documents as required by Commission regulations and make required filings with the Commissions using e-filing systems and/or via overnight mail
Prepare expense reports and process invoices
Prepare witness binders, affidavits, and other regulatory-related documents in an accurate, complete, and timely manner
Assist paralegals with development and maintenance of SharePoint sites and SFTP sites or other electronic media, as needed
Serve as the process owner for files, databases, document management systems, and specialized computer software systems
Screen and prioritize phone messages, emails, and other correspondence; respond in a respectful and professional manner and determine what, how, and to whom information is to be communicated with little direction or supervision required
Perform routine administrative duties such as copying, scanning, and preparing mailings
Responsible for working with external vendors for file, hearing, and meeting preparations
Complete assigned projects as instructed and with a sense of urgency
Assist attorneys, paralegals and teammates with other related assignments

Basic Qualifications
High school diploma AND two (2) years minimum administrative assistant experience OR two (2) years minimum experience editing documents in a professional setting

Desired Qualifications
At least 5 or more years related experience as a legal assistant, in a law firm, in-house corporate legal department or governmental agency supporting a regulatory practice group
Proficiency with legal terminology
Working knowledge of computer applications such as Adobe Pro, Teams, Outlook, Word, Excel, PowerPoint and other Microsoft products, SharePoint and performing internet research
Experience with a state regulatory commission or similar type governmental agency or body
Experience supporting three or more attorneys and/or paralegals
Regulated industry or utility experience
Demonstrated clear, concise, and effective written and oral communications skills, including an emphasis on grammar and formatting
Demonstrated ability to prioritize, organize, and coordinate work while being proactive, taking initiative, and exhibiting sound judgment
Attention to detail, accuracy, and flexibility in handling multiple tasks, often under time constraints while taking direction from multiple regulatory attorneys, paralegals and clients
Able to follow instructions and learn specific technical editing styles
Demonstrated problem solving, decision making and analytical skills
Holds oneself accountable for complete, accurate, and timely work results, both independently and as part of a team
Exercise professional judgment, integrity, respect, and professionalism
Ohio or Kentucky Notary Public

Working Conditions
Hybrid mobility classification – work will be performed from both remote and onsite locations after the onboarding period. However, hybrid employees should live within a reasonable commute to the posted reporting location
