Job Overview

The Executive Secretary provides high-level administrative, clerical, and managerial support to senior executives, managing directors, or board members. This role requires a high degree of professionalism, strict confidentiality, and the ability to manage complex schedules and corporate documentation efficiently to ensure smooth business operations.

Key Responsibilities

  • Calendar & Schedule Management: Coordinate and manage the executive's daily calendar, schedule appointments, arrange corporate meetings, and handle complex travel logistics.
  • Corporate Documentation: Draft, review, and organize critical corporate documents, including memos, official correspondence, board resolutions, and legal or financial reports.
  • Meeting Coordination: Prepare meeting agendas, compile background materials, and attend executive or board meetings to take accurate minutes and track follow-up action items.
  • Communication Liaison: Act as the primary point of contact between senior executives and internal/external stakeholders, screening phone calls, routing inquiries, and managing official correspondence.
  • Information Management: Establish and maintain secure, highly organized physical and digital filing systems for confidential corporate records.
  • Office Administration: Ensure the executive office runs efficiently by managing administrative tasks, reviewing invoices, and supervising junior clerical staff if applicable.
  • Qualifications and Experience

    • Education: Bachelor’s degree in Business Administration, Secretarial Studies, or a related field.
    • Experience: 3 to 5+ years of proven experience supporting C-level executives or board members within a corporate environment.
    • Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and modern digital calendar/collaboration platforms.
    • Language Skills: Strong verbal and written communication skills.
