About the Role
We are a leading pharmaceutical company seeking a dynamic and professional Executive – Assistant to Legal Head to provide administrative, coordination, and documentation support to the Legal Head. The ideal candidate should possess a pleasant personality, excellent interpersonal skills, strong communication abilities, and advanced proficiency in MS Office applications.
Key Responsibilities
- Provide comprehensive administrative and secretarial support to the Legal Head.
- Manage calendars, meetings, appointments, travel schedules, and correspondence.
- Prepare, format, and review professional documents, reports, presentations, and legal-related correspondence.
- Draft and maintain high-quality Word documents, spreadsheets, and PowerPoint presentations.
- Coordinate with internal departments and external stakeholders for timely completion of tasks and follow-ups.
- Organize, maintain, and retrieve legal and business documents efficiently.
- Prepare meeting agendas, record minutes of meetings, and track action items.
- Handle confidential information, legal documents, and business-sensitive data with the highest level of discretion, integrity, and professionalism.
- Ensure strict confidentiality of company information, strategic initiatives, contracts, and communication handled within the Legal Department.
- Support the Legal Head in day-to-day operations and special projects as assigned.
- Ensure timely communication and coordination across functions.
- Maintain repository of contracts and important documents and ensure safekeeping and easy retrieval.
Desired Candidate Profile
- Graduate in any discipline (Graduation is mandatory).
- 2–5 years of experience in Executive Assistant, Personal Assistant, Secretary, or similar support roles.
- Excellent command of MS Office, particularly:
- Microsoft Word
- Microsoft PowerPoint
- Microsoft Excel
- Outlook
- Strong presentation preparation and document management skills.
- Excellent verbal and written communication skills.
- Good interpersonal skills with a professional and confident personality.
- Ability to multitask, prioritize assignments, and meet deadlines.
- High level of integrity, confidentiality, and attention to detail.
