We are seeking a highly organized, professional, and proactive Executive Administrative Assistant to support our executive leadership and day-to-day operations within a growing financial services and insurance organization.
This individual will play an important role in keeping the executive team organized, supporting clients and financial professionals, coordinating meetings and follow-ups, maintaining our CRM, assisting with insurance and financial-services administrative processes, and ensuring that internal operations run efficiently.
The ideal candidate is detail-oriented, polished, dependable, comfortable communicating with high-level professionals and clients, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities : Executive & Administrative Support
- Provide direct administrative support to executive leadership.
- Manage calendars, appointments, Zoom meetings, conference calls, and internal meetings.
- Coordinate meeting schedules across multiple time zones.
- Prepare agendas, meeting notes, reports, presentations, and follow-up items.
- Track executive priorities, deadlines, pending items, and action steps.
- Draft and proofread professional emails, letters, client communications, and internal correspondence.
- Maintain organized electronic records, documents, and confidential files.
- Assist with travel arrangements, event coordination, reservations, and executive scheduling as needed.
Client & Professional Communication
- Communicate professionally with clients, physicians, business owners, insurance agents, CPAs, attorneys, carriers, and strategic partners.
- Make outbound calls for meeting confirmations, appointment scheduling, follow-ups, and relationship management.
- Respond to incoming calls and emails and route inquiries appropriately.
- Follow up with prospective and existing clients regarding appointments, documentation, and outstanding requirements.
- Maintain a high level of professionalism, discretion, and confidentiality when handling sensitive financial and personal information.
Financial Services & Insurance Support
- Assist with the administrative processing and tracking of life insurance, disability insurance, annuity, retirement, and other financial-services cases.
- Follow up with insurance carriers regarding contracting, licensing, applications, underwriting requirements, pending cases, commissions, and outstanding documentation.
- Assist financial professionals and agents with onboarding and contracting requirements.
- Track carrier appointments, licensing documents, forms, signatures, and compliance-related requirements.
- Coordinate with agents, clients, carrier representatives, underwriting teams, and internal staff to keep cases moving efficiently.
- Maintain accurate records of client and agent activity.
Qualifications
- Previous experience as an Executive Assistant, Administrative Assistant, Office Coordinator, Client Services Associate, or similar role.
- Experience within financial services, insurance, banking, wealth management, accounting, or another professional-services environment is strongly preferred.
- Excellent written and verbal communication skills.
- Strong organizational and time-management abilities.
- Exceptional attention to detail.
- Professional telephone and email etiquette.
- Ability to communicate confidently with executives, clients, financial professionals, and external partners.
- Ability to manage multiple priorities and deadlines with minimal supervision.
- Strong follow-through and problem-solving skills.
- High level of discretion when handling confidential information.
- Comfortable working in a fast-paced and growing organization.

Education
Associate’s or Bachelor’s degree preferred, although relevant professional experience may be considered in place of a degree.
Additional Requirements
