Estate Planning & Probate Paralegal

Location

This is a full-time, in-person position located in Tulsa, Oklahoma. Office is near 21st St and Lewis.

Position Summary

The Estate Planning & Probate Paralegal plays a vital role in helping families navigate some of life’s most significant transitions. This position manages probate, guardianship, and other court-related matters while also supporting the drafting and implementation of estate planning documents.

This role combines technical legal expertise with compassionate client service. The Paralegal helps transform complex legal processes into clear, organized, and approachable experiences that reduce client stress and create peace of mind.

Core Responsibilities

  • Probate & Guardianship Administration
  • Manage probate, guardianship, and related court proceedings from opening to closing.
  • Prepare and file pleadings, applications, inventories, accountings, notices, and reports.
  • Maintain court calendars and monitor deadlines.
  • Coordinate with courts, clerks, fiduciaries, and third parties.
  • Track case status and proactively identify issues requiring attorney attention.

Estate Planning Support

  • Draft wills, trusts, powers of attorney, healthcare directives, deeds, and related documents.
  • Prepare client review drafts and final execution documents.
  • Assist with trust funding and asset alignment activities.
  • Prepare summaries, flowcharts, and educational materials for clients.
  • Organize client records and maintain document accuracy.

Client Communication

  • Serve as a primary point of contact for clients.
  • Provide procedural updates and status reports.
  • Gather information and documentation from clients.
  • Assist clients in understanding next steps using clear, plain language.
  • Maintain communication that reflects the firm’s warmth, professionalism, and respect.

Case Management

  • Maintain accurate case files and documentation.
  • Monitor workflows and ensure deadlines are met.
  • Coordinate signing meetings and execution logistics.
  • Assist with post-signing implementation and funding tasks.
  • Prepare materials for annual reviews and membership programs.

Legal Research & Administrative Support

  • Conduct legal and factual research as assigned.
  • Assist with developing and updating templates.
  • Support attorney preparation for consultations, hearings, and client meetings.
  • Help maintain procedural checklists and workflow documentation.

The Paralegal is successful when:

  • Estate planning documents are accurate and timely.

Required Qualifications

  • Paralegal experience in probate, estate planning, guardianship, or related fields.
  • Strong drafting and document management skills.
  • Excellent written communication.
  • Exceptional attention to detail.
  • Ability to manage deadlines independently.
  • Professional and compassionate client-service mindset.

Preferred Qualifications

  • Fluent in Spanish.
  • Certified Paralegal designation.
  • Experience with Oklahoma probate and guardianship procedures.
  • Experience with estate planning software and legal practice management systems.

Pay: $40,000.00 – $48,000.00 per year
