Position Summary
Our Escrow Officers are responsible for managing residential and commercial real estate transactions from the time a file is received from Processing through funding and closing. This role requires excellent communication, strong organizational skills, attention to detail, and the ability to provide an exceptional client experience while ensuring accuracy and compliance throughout the transaction.
Key ResponsibilitiesTransaction Management
- Assume ownership of files immediately upon handoff from the Processing Department.
- Review title commitments, surveys, payoffs, estoppels, contracts, lender instructions, and all related documentation.
- Identify title issues and coordinate resolutions.
- Manage transactions from receipt through successful closing.
Client Communication
- Serve as the primary point of contact for buyers, sellers, Realtors®, lenders, attorneys, and vendors.
- Contact buyers and sellers within 24-48 hours of receiving each file.
- Provide proactive updates throughout the transaction.
- Return calls and emails promptly.
- Maintain detailed file notes documenting all significant communications.
Closing Coordination
- Prepare Closing Disclosures and settlement statements.
- Coordinate signing appointments.
- Review lender instructions and closing packages.
- Balance files accurately.
- Coordinate funding with lenders.
- Prepare files for recording and transition to the Post Closing Department.
Quality Control
- Verify vesting and legal descriptions.
- Confirm payoff accuracy.
- Review title requirements and exceptions.
- Ensure lender conditions have been satisfied.
- Identify and resolve issues before they delay closing.
- Escalate complex title matters when appropriate.
Team Collaboration
- Work closely with Processing, Escrow, and Post Closing departments.
- Participate in ongoing training and department meetings.
- Maintain organized, compliant files from start to finish.
Qualifications
- Florida Title Agent License preferred.
- Candidates who are not currently licensed must obtain their Florida Title Agent License within six (6) months of their date of hire as a condition of continued employment.
- Previous title, escrow, mortgage, or real estate closing experience preferred.
- Excellent customer service and communication skills.
- Strong organizational and time management abilities.
- Exceptional attention to detail.
- Ability to manage multiple transactions simultaneously.
- Professional appearance and demeanor.
- Proficiency with Microsoft Office.
- Experience with Qualia or similar title software is a plus.
Compensation
- $50,000-$65,000 annual base salary, based on experience and qualifications.
- Performance-based incentives paid on successfully closed files that meet the company’s quality standards.
A successfully closed file is one that:
- Closes accurately and on time.
- Has no significant errors or omissions.
- Results in no financial loss to the company.
- Delivers an exceptional customer experience.
