Overview

Director of Entity Management Jobs in San Diego, CA at Stata Family Office Services

ABOUT STRATA:

Strata is a boutique multi-family office built for a small, highly select group of ultra-high-net-worth families. We exist to bring institutional-grade financial rigor, discretion, and precision to principals who expect nothing less than excellence, and who trust us to keep complexity out of their line of sight.

Our work is quiet by design. We don’t manage funds or market ourselves. We build and maintain the infrastructure that allows exceptional families to operate with confidence across entities, across asset classes, and across generations.

The team is small, intentional, and deeply capable. Every person here is trusted with information and responsibility that most firms would never grant at this level. That trust is our culture.

This is a chance to become the connective tissue holding together entities, trusts, and agreements for a family office built on discretion and trust.

THE OPPORTUNITY:

Strata is hiring a Director of Entity Management to own the day to day legal and entity administrative work currently handled personally by our President. This is not a design or strategy seat, it is an execution role for someone who wants to keep entity structures airtight, keep the estate planning attorney relationship running smoothly, and give agreements a thorough first pass before anything reaches outside counsel.

You will work directly with the President, and in close coordination with the Chief of Staff. Your work keeps legal and entity matters moving without becoming a bottleneck at the top.

POSITION DETAILS:

  • Title: Director of Entity Management
  • Type: Full-Time Employee
  • Location: Hybrid-Remote (Salt Lake City-based preferred)
  • Reports To: President
  • Salary Range: Starting at $95,000
  • Entity & Estate Law: Required: hands-on experience with entity formation and estate planning documents

WHAT YOU WILL OWN:

Estate & Entity Coordination

  • Serve as the primary day to day contact with the outside estate planning attorney, translating direction into action items and tracking progress through execution
  • Keep entity structure charts and diagrams current, and flag when a structure may need to be revisited
  • Manage entity registration, annual reports, and state filings to keep every entity in good standing
  • Coordinate across related entities and trusts so nothing falls through the cracks between them
  • Confirm asset titling matches the intended entity structure
  • Support execution of gifting and transfer tax strategies directed by leadership and outside counsel

Agreement Review & Coordination

  • Do the first pass read and review on agreements crossing the President’s desk, including purchase and sale agreements, letters of intent, and investment documents
  • Identify issues and questions, then route anything requiring specialty expertise to the appropriate outside counsel
  • Help manage relationships with a bench of outside specialty counsel
  • Track agreements through to execution and keep an organized record of signed documents

WHAT SUCCESS LOOKS LIKE:

At Strata, we measure this role not by activity, but by outcomes. The right person will deliver:

  • Zero surprises on entity compliance or filing deadlines
  • An estate planning attorney relationship that runs smoothly without leadership as the go between
  • Agreements that get a thorough first pass and the right specialty eyes before anything is signed
  • A President who is no longer the intake point or the one chasing signatures

WHAT WE’RE LOOKING FOR:

Required

  • Paralegal certificate, JD, or equivalent hands-on experience in entity formation and estate administration
  • Several years of experience owning entity or trust work independently, with minimal attorney oversight
  • Background in trusts and estates and/or business entity law
  • Strong project management instincts and comfort driving documents to execution without heavy oversight
  • High discretion and professionalism handling sensitive personal and financial matters

Strongly Preferred

  • JD, though not required
  • Experience supporting a principal, executive, or family office directly
  • Familiarity with aviation, real estate, or securities transaction documents

SCOPE & BOUNDARIES:

To be clear about fit: this is an execution focused role, not a General Counsel or design seat. It does not involve:

  • Setting estate planning or entity strategy
  • Negotiating final terms independent of outside counsel
  • Tax strategy determination
  • Capital allocation or investment decisions

If you want to be the reason nothing slips through the cracks on entities, trusts, and agreements, and find satisfaction in precise, well organized execution, this role is for you.

WHY STRATA:

  • Autonomy: You run the function. No micromanagement, no bureaucracy.
  • Access: Direct line to leadership and principals. Your work matters at the highest level.
  • Craft: Small team that cares deeply about doing the work the right way.
  • Discretion: A firm built on trust. Your professionalism is valued and protected.
  • Flexibility: Hybrid-Remote. We care about output, not face time.
  • Compensation: Competitive package commensurate with the caliber of this role.

Pay: From $95,000.00 per year

Benefits:

  • 401(k)
  • Health insurance
  • Paid time off

Application Question(s):

  • Describe your experience coordinating entity, trust, or agreement matters on behalf of a principal, executive, or organization. Include your role in the process, how you worked with outside counsel or attorneys, and an example of an agreement or entity matter you helped manage from start to finish.
