Trustpoint is proud to partner with a top tier, national litigation law firm in its search for a Court Services Specialist. This is a critical, high-impact role supporting firmwide litigation operations through rule-based docketing, calendaring, and e-filing. The ideal candidate brings deep procedural knowledge, strong analytical skills, and a high level of precision to ensure compliance with court rules and deadlines across multiple jurisdictions. Successful candidates will be commutable to one of the offices (Los Angeles, DC, or San Francisco).

Responsibilities:

  • Perform rule-based calendaring by reviewing pleadings, orders, notices, and correspondence to identify and calculate litigation deadlines
  • Research and apply state, federal, local, judge-specific, and agency rules of procedure when determining deadlines
  • Manage and process calendar requests within the firm’s docketing systems
  • Maintain and update deadlines and trial calendars for active matters
  • Generate weekly and ad hoc calendar reports for attorneys and litigation teams
  • Conduct calendar review meetings to confirm accuracy and upcoming deadlines
  • Respond to inquiries and investigate docketing or calendaring issues as needed
  • Support continuous improvement efforts to mitigate future calendaring risks
  • Provide guidance on date calculations and procedural calendaring questions
  • Conduct legal research related to court rules, civil procedure, and filing requirements using tools such as Smart Rules and Westlaw
  • Monitor court rule updates and communicate changes to relevant stakeholders
  • Provide operational guidance to attorneys and staff regarding filing and calendaring requirements
  • Coordinate with court clerks and administrative offices to obtain procedural information
  • Prepare and submit electronic and manual filings in state, federal, appellate, and agency courts
  • Review documents for compliance with applicable court rules prior to filing
  • Coordinate service of process, subpoenas, and delivery of courtesy copies
  • Communicate with courts to confirm filing procedures and requirements
  • Track filing status and provide timely updates to attorneys and case teams
  • Identify and communicate filing-generated deadlines for docketing purposes
  • Retrieve filed documents and update internal systems accordingly
  • Maintain attorney filing credentials and court admission records
  • Set up and manage court filing accounts and troubleshoot access issues
  • Coordinate with approved vendors for filings, service, and deliveries
  • Process vendor invoices in accordance with firm procedures
  • Perform additional duties as assigned

Qualifications:

  • High school diploma or GED required; bachelor’s degree preferred
  • 5+ years of experience in litigation docketing, using a rules-based platform (CompuLaw experience required)
  • 2+ years of experience in e-filing across multiple jurisdictions
  • Strong knowledge of state, federal, and local court rules, including rules of civil procedure
  • Experience researching court websites and procedural requirements
  • Proficiency with online filing platforms including CM/ECF and third-party vendor systems
  • Advanced proficiency in Microsoft Office, including Outlook, Excel, and Word
  • Experience with CompuLaw Vision, PACER, SmartRules, and Westlaw
  • Exceptional attention to detail with proven accuracy in deadline calculation and calendaring
  • Strong organizational skills with the ability to manage competing priorities
  • Excellent written and verbal communication skills
  • Ability to analyze and interpret complex procedural information
  • Self-starter with the ability to work independently in a fast-paced environment
