The Practice Assistant in our St. Louis office will provide direct support to lawyers by performing administrative and legal work. The ideal candidate is an ambitious, self-motivated individual with an interest in the legal profession.
This position will require presence in the St. Louis office at least three days per week pursuant to the firm’s hybrid work policy. Overtime and flexibility in schedule is required from time to time.
Responsibilities include, but are not limited to:
Accept work assignments from practice group lawyers and work collaboratively with other team members on duties assigned
Maintain calendars to include coordination and scheduling of meetings, conference calls, send calendar invites and reminders, reserve conference rooms on-site in firm reservation system and for off-site venues
Coordinate travel arrangements with firm’s travel provider
Organize and manage files/emails in the document management system
Document production, including formatting, editing, and finalizing correspondence, contracts and memoranda
Process business expense reimbursements and vendor payments
Input time entry for assigned lawyers
Complete client/matter intake request forms and work directly with the lawyer and compliance department on new or existing business
File documents electronically (File Time) with various courts and remain up to date on format, filing requirements and deadlines
Review and edit pre-bills for submission to billing department and research/identify outstanding invoices and payments, when needed
Provide administrative support including printing, scanning, duplicating, facsimile transmission, preparing mail, overnight packages and hand deliveries
Maintain, research and update contact lists, create labels and coordinate mailings as directed by timekeepers
Attend business development meetings to collect and organize key takeaways for the lawyers, including follow up on actionable items
Exercise good judgment and delegate administrative tasks as needed to appropriate firm resources, e.g., Global Service Center, Billing, etc.; maintain responsibility for and track all delegated activities/tasks/projects to successful completion
Assist other practice group support members with overflow work and provide backup support during periods of annual or personal leave
Additional responsibilities or special projects, as requested

Qualifications:
Minimum one year of experience in a law firm or professional service organization preferred
Associate’s or Bachelo’rs degree preferred; high school diploma is required
Proficient in Microsoft Office Suite
Excellent verbal and written communication skills
Excellent organizational skills and attention to detail
Ability to work harmoniously and effectively with others as part of a team
Strong work ethic and positive attitude, with flexibility to work overtime as needed
Exercises confidentiality and discretion
Maintains a calm and professional demeanor at all times
