The Role
The successful applicant will be required to work independently under the guidance of the Consul-General and in collaboration with Australian High Commission colleagues in Ottawa to provide consular, notarial and passport services to Australian citizens within Canada.
This position requires a self-motivated individual with strong interpersonal and communication skills. The focus of this role is to carry out consular and passport functions and to act as a contact point for visitors to the Australian Consulate-General in downtown Toronto.
Consular staff are some of the most publicly scrutinised positions at Austrade. The roles routinely encounter difficult and stressful situations and, from time to time, will be required to perform duties out of hours.
Duties include
Processing of Australian passport applications and provision of notarial services
- Accurate processing of applications for Australian passports, including face-to-face counter service.
- Perform notarial services in accordance with strict policies, procedures and service standards.
- Respond professionally to passport and notarial enquiries by phone, email and face-to-face counter service during office hours.
- Execute administrative requirements of passport and notarial records and ensure the accurate receipting of monies.
Consular duties
- Provide consular services to Australians who have been imprisoned, hospitalised or require urgent assistance.
- Manage a caseload of consular clients, requiring accurate and concise reporting in English.
- Respond professionally to consular enquiries by phone, email and face-to-face counter service during office hours.
- Be available for consular emergencies out of office hours in extenuating circumstances.
- Carry out duties required to support Australians in electoral voting.
- Manage consular mail, diplomatic bag and courier services.
- Build and maintain strong local, regional networks (e.g. airports, local authorities, hospitals, legal advisory, local foreign ministry) to effectively deliver on consular and passport services.
- Work collaboratively within the Austrade and DFAT consular network to contribute to continuous improvement of service delivery, while upholding the Australian Public Service Values, Employment Principles and Code of Conduct and Work Health & Safety principles.
- Support the consular services operation of the office, and the Consul-General.

Eligibility
To be eligible for consideration and appointment you must have:
- Work Authorisation – to be eligible for employment with Austrade in Canada, candidates must be legally authorised to live and work in the Canada at the time of appointment.
- Language – the successful candidate must be a highly motivated team member, fluent in written and spoken English.
- Security Clearance – the successful applicant must be willing to complete an Entry Level Screening Pack and be confirmed as a suitable person to access Government resources prior to commencement in the role.
