JOB DESCRIPTION
POSITION SUMMARY:
The Conflicts & Intake Manager oversees the firm’s conflicts of interest process, ensuring compliance with ethical rules, professional responsibility standards, and firm policies. This role manages conflicts checks for new clients, new matters with existing clients, and lateral attorney candidates, including pre-hire conflicts analysis and risk assessment. The Conflicts Manager advises attorneys and firm leadership on conflict issues and supervises conflicts staff and intake procedures to support timely and compliant new business and recruiting decisions. This position reports through the Finance Department with a dotted line to the Office of General Counsel.
WORKING RELATIONSHIPS:
REPORTS TO: Chief Financial Officer
SUPERVISES: Conflicts Analysts
PRIMARY DUTIES AND RESPONSIBILITIES:
- Conduct thorough conflict checks for new clients, matters, and lateral hires.
- Analyze conflict reports and identify potential conflicts of interest across multiple offices and practice areas.
- Collaborate with attorneys and firm leadership to resolve conflicts through waivers, screening procedures, or other risk mitigation strategies.
- Research corporate structures, affiliations, and related entities to ensure accurate conflict identification
- Maintain integrity of and update the firm's conflict database and related records.
- Provide guidance on professional responsibility rules, ethical issues, and client confidentiality concerns.
- Develop and implement policies and procedures to improve conflicts management.
- Assist in training attorneys and staff on conflict identification and resolution.
- Work closely with the Office of General Counsel and compliance teams to ensure adherence to firm policies and legal and regulatory requirements.
- Stay informed about changes in legal ethics rules and industry best practices.
- Collaborate directly with attorneys, Attorney Recruiting team, and legal assistants to gather necessary information to resolve ambiguities
- Assist in evaluating conflict risks and determining whether issues are consentable under applicable rules
- Draft conflict disclosure and waiver language for review
- Coordinate with the Office of General Counsel on complex or sensitive conflicts issues
- Contribute to continuous improvement of intake and conflicts processes
- Generate reports and metrics on conflicts activity
- Collaborate with IT and Finance teams on system improvements and data integrity

KNOWLEDGE, SKILLS AND ABILITIES REQUIRED:
- EDUCATION:
Bachelor’s degree required.
- WORK EXPERIENCE:
Three years of experience in a law firm conflicts, intake, or compliance role required.
- Sound judgment and discretion handling confidential information
- Ability to manage competing priorities in a deadline-driven environment
- Strong interpersonal skills and a service-oriented mindset
- Problem-solving approach with a practical, business-focused perspective
- Team-oriented, with the ability to work across offices and departments
- Familiarity with conflicts software (e.g., Intapp or similar platforms)
- Understanding of conflicts of interest principles under professional responsibility rules
- Strong research and analytical skills, especially with corporate relationships
- High level of attention to detail and accuracy
- Ability to communicate effectively with attorneys and staff at all levels
PREFERRED:
JD or Paralegal certification preferred.
WORKING CONDITIONS:
PHYSICAL EFFORT: Extended periods working on a PC and sitting for long periods of time. Ability to work under stress and time constraints
WORK ENVIRONMENT: Hybrid work arrangement: 1-3 days in office and 2 -4 days of remote work; ideal candidate would be located near one of the Firm’s physical office locations. Depending on candidate, 100% remote work arrangement may be considered. Position may require some travel; must possess a valid driver's license. On occasion, may be required to work more than 40 hours per week.
JOB STATUS: Full-time 37.5 HPW, exempt position.
