POSITION SUMMARY:

The Commercial Loan Administrator reports directly to the SVP – Chief Credit Officer and is responsible for processing and documenting commercial loans under minimal supervision, processes loan files and provides support for closing and booking Commercial & Industrial, Commercial Real Estate, Construction, and SBA loans. He/she will perform various financial and administrative responsibilities associated with the processing, recording, and monitoring of the Bank’s commercial loan portfolio.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

Assume role as liaison between the commercial lending team, other internal Bank departments, and third-party vendors including but not limited to attorneys and real estate inspectors.
Coordinate with attorneys during and after the loan closing to make sure collateral is secured, recorded, and filed with the respective registry of the county or State and following up on any post-closing documentation.
Assist with requests for loan advances, payments, payoffs, account transfers, and other loan-related items are processed.
Work with Loan Officers to clear any/all pre-closing conditions and resolve in a timely fashion and keep records of all post-closing conditions.
Review of key attorney prepared loan documents to ensure compliance with all Bank approval memos and policies and communicate revisions with attorneys as needed.
Complete post-approval tasks in the Sageworks system and export the information into the loan document system for loan documents preparation.
Prepare loan documents for new loans, loan modifications, extensions, and renewals in compliance with all loan approval and policies, prior to closing.
Review property (hazard) insurance certificates ensuring adherence to policy and loan approval.
Verify LOC availability and ensure that A/R aging and borrowing base certificates are prepared and signed properly, prior to funding advance requests.
Assist with ordering flood determinations and environmental screens, as needed for loan closings.
Produce fee disbursement schedules for closing loans and prepare loan disbursements.
Process fee deposits collected by Loan Officers, coordinate with accounting, and ensure deposits are applied to loan closing costs.
Oversee and process loan advances for lines of credit, and new loan funding’s, and coordinating with accounting to ensure accurate billing/fee collections.
Maintain loan records, create, maintain, and file customers’ legal documents.
Process construction draws, loan advances, paydowns and produce partial releases when necessary.
Work with the accounting team for reconciliation of GLs monthly and quarterly and make sure all invoices are paid and processed on time including appraisals, Environmental, Flood, Credit Reports, Attorney’s Fee etc.
Maintain a high level of quality control while adhering to State, Federal and Bank regulatory and loan policy requirements.
Responsible for attending meetings, seminars and training sessions as required
Prepare the bank’s internal compliance documents for each closing.
Work with the Loan Servicing Team to resolve any document exceptions during loan booking process.

Perform other related duties as assigned.

MINIMUM KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

Minimum of two years prior experience in commercial or business loan documentation preferred.
Bachelor’s degree in Business, Finance, Real Estate or Accounting preferred.
Excellent attention to detail skills required.
Ability to prioritize a variety of tasks.
Ability to extract pertinent information from a variety of sources and integrate into the necessary documents required.
Thorough understanding of lien perfection.
Knowledge of compliance regulations required.
Demonstrated excellent communication – both written and verbal skills required.
Must be a “team player”, flexible and willing to support other business line partners to provide excellent customer service.
Must be results oriented and able to prioritize multiple tasks.
Must be a person of high integrity who is always dependable and professional.
