Job Summary
We are seeking a reliable, detail-oriented Case Manager to join our personal injury team. The ideal candidate is organized, compassionate, and able to manage multiple cases from intake through settlement while maintaining excellent communication with clients, providers, insurance adjusters, and attorneys.

Key Responsibilities

1. Case Intake & File Setup

  • Conduct new client intakes and gather initial case facts.
  • Open and organize digital case files in the firm’s case management system.
  • Obtain police reports, incident reports, photos, insurance information, and other supporting documents.

2. Medical Records & Documentation

  • Request medical records, bills, imaging, and treatment summaries from all providers.
  • Track outstanding requests and follow up consistently until received.
  • Review and organize all incoming records for accuracy and completeness.
  • Maintain a detailed log of treatment, referrals, and medical updates.

3. Case File Management

  • Update case files throughout the entire life cycle—from inception to resolution.
  • Monitor case progress and ensure all documentation is stored correctly and timely.
  • Maintain accurate notes, deadlines, and action items for each case.
  • Ensure all case information is up to date prior to attorney review.

4. Communications With Providers & Insurance Adjusters

  • Coordinate with medical providers to verify treatment plans, request updates, and confirm completion of care.
  • Communicate with insurance adjusters regarding policy limits, liability, coverage, and general case status.
  • Send and manage letters of representation, medical authorizations, and records requests.

5. Demand & Settlement Preparation

  • Gather all medical records, bills, and supporting documents for demand creation.
  • Assist attorneys in preparing detailed demand packages, including medical summaries and damage calculations.
  • Confirm balances, liens, and adjustments before settlement.
  • Assist with closing documents and settlement breakdowns.

Requirements

  • Prior personal injury case management experience strongly preferred.
  • Excellent communication and customer-service skills.
  • Highly organized, detail-oriented, and strong at follow-through.
  • Ability to multitask, prioritize, and work independently in a fast-paced environment.
  • Bilingual (Spanish) is a plus but not required.
  • Bachelors degree required.
  • Monday-Friday, Full time, 8:30am-5pm.

Pay: From $20.00 per hour
