Bilingual Intake Specialist / Legal Assistant – Personal Injury Law Firm Jobs in Clayton, NC at Paul Robinson Law, PLLC
Growing North Carolina personal injury law firm is seeking a bilingual (Spanish/English) Intake Specialist / Legal Assistant to join our team.
This is a hybrid position combining new-client intake, sales, client service, and legal assistant responsibilities.
This is not a traditional receptionist position.
We are looking for someone with a sales / closer mentality who enjoys talking to people, building relationships, following up, and getting results.
When a potential client calls after an accident, your job isn’t simply to take down their information. Your job is to understand what happened, make a connection, build trust, explain how we can help, and turn qualified leads into clients.
Once a client hires us, you’ll help get their case off to a great start by gathering documents, setting up insurance claims, obtaining reports and records, and staying in contact with the client.
You do not need years of legal experience. We can teach personal injury law, claims handling, and our systems.
What is much harder to teach is personality, drive, urgency, organization, persistence, and the desire to close.
What You’ll DoNew Client Intake & Sales
Your first responsibility is helping the firm convert qualified leads into clients. You will:
- Respond quickly to new potential-client inquiries
- Conduct initial intake interviews in both English and Spanish
- Gather information about accidents, injuries, insurance, and medical treatment
- Evaluate potential cases using firm guidelines
- Explain the firm and the representation process to potential clients
- Build rapport and establish trust
- Follow up consistently with prospective clients
- Send representation agreements and obtain signatures
- Communicate with attorneys regarding promising or unusual cases
- Help onboard new clients after they hire the firm
Legal Assistant & Case Support
You will also help with the initial development and ongoing management of personal injury cases, including:
- Obtaining initial documents and information from new clients
- Setting up bodily injury and property damage claims with insurance companies
- Obtaining insurance information and claim numbers
- Requesting accident and police reports
- Requesting medical records and medical bills
- Obtaining photographs, insurance documents, and other case-related materials
- Organizing and maintaining client files
- Following up on outstanding records, bills, and documents
- Conducting regular follow-up calls with clients
- Documenting client communications and case updates
- Helping clients understand where their case is in the process
- Assisting attorneys and case managers with additional case-related tasks
- Learning the personal injury process and taking on greater responsibility as you develop
Are You a Closer?
If a potential client says:
“Send me the information and I’ll think about it.”
Your instinct shouldn’t be to send an email, mark the lead complete, and hope they call back.
You should be thinking:
What is keeping them from hiring us?
What questions haven’t I answered?
How can I make them comfortable choosing our firm?
When am I following up?
What do I need to do to earn this client?
At the same time, the people contacting us may be injured, scared, frustrated, or overwhelmed. This isn’t selling cars or widgets.
The best person for this position combines a closer’s mentality with empathy, professionalism, patience, and good judgment.

- Be comfortable talking with insurance companies, medical providers, and clients
- Be eager to learn personal injury law
- Want to grow into additional legal and case-management responsibilities

Experience
Experience in any of the following is strongly preferred:
- Sales
- Legal intake
- Personal injury
- Insurance
- Medical offices
- Customer service
- Call centers
- Other client-facing positions
Personal injury or legal experience is a plus, but it is not required for the right candidate.
We would rather hire someone who is smart, driven, personable, organized, bilingual, and eager to learn than someone with years of legal experience who simply wants to check boxes and complete assigned tasks.
