About the Position

We are hiring a polished, dependable Bilingual Administrative Assistant to serve as one of the first points of contact for our clients and to help keep a busy law office organized and running smoothly. This is a classic administrative / front-office role with significant client communication. You will answer phones, assist clients in both Spanish and English, manage routine office tasks, maintain calendars and files, prepare basic correspondence, and help attorneys and legal staff stay on track.

Legal experience is helpful, but it is not required. We are more interested in finding someone who communicates professionally, learns quickly, follows through, manages time well, and takes pride in accurate work.

Required Qualifications

  • Full professional fluency in both Spanish and English, including the ability to hold detailed client conversations and communicate clearly and professionally in writing in both languages.
  • Strong verbal communication, professional phone etiquette, and a confident, courteous manner with clients, attorneys, coworkers, courts, and outside offices.
  • Strong written English skills, including grammar, spelling, punctuation, and professional vocabulary.
  • Excellent organization and time-management skills. You must be able to manage your own task list, prioritize competing demands, and complete work without repeated reminders.
  • Reliable attention to detail and the ability to follow established procedures accurately.
  • Comfort with computers and common office software, including Microsoft Word and Outlook; ability to learn additional case-management and office systems quickly.
  • High school diploma or equivalent.
  • Ability to handle confidential and sensitive information with discretion and professionalism.
  • Ability to pass a background check.

Experience We Prefer

One or more years of administrative, clerical, receptionist, front-desk, or professional office experience is strongly preferred. We will also consider an exceptional candidate from a strong customer-service background if that person has excellent communication, computer, organization, and follow-through skills.

  • Law office, medical or dental front office, banking, insurance, government, professional services, or another environment where accuracy and confidentiality matter.
  • Scheduling, calendaring, data entry, document preparation, electronic filing, or records management.
  • Managing a high volume of phone calls, emails, appointments, and client requests while keeping track of unfinished tasks.
  • Microsoft Word, Outlook, Adobe Acrobat, Excel, or similar office software.

What You Will Do

  • Answer incoming calls and communicate with clients in Spanish and English in a professional, helpful manner.
  • Greet clients and visitors and help create a welcoming, organized front-office experience.
  • Route client questions appropriately, gather information, document communications, and make sure follow-up tasks are not lost.
  • Schedule appointments, maintain calendars, and assist with deadline and task tracking.
  • Prepare routine correspondence, form letters, simple documents, and other administrative materials under staff direction.
  • Perform data entry; scan, organize, name, and maintain electronic and paper files; and assist with records management.
  • Monitor and help resolve routine client-service issues while knowing when an issue needs to be escalated to a paralegal or attorney.
  • Maintain a clean task list and consistently close the loop on assigned work.

Compensation, Benefits & Schedule

  • $22–$28 per hour, depending on experience and demonstrated skills.
