Position Summary:
The Attorney Liaison is responsible for scheduling of CME’s, IME’s, depositions, trial appearances, etc. will also entail collections and records custodian.
Key Responsibilities:
- Schedule and manage Compulsory Medical Examinations (CMEs), including coordinating physicians, patients, attorneys, and other involved parties.
- Coordinate physician availability for depositions, hearings, and trial appearances.
- Maintain and manage physicians’ litigation and professional calendars, ensuring all deadlines, appointments, and legal commitments are accurately documented.
- Communicate with attorneys, law firms, insurance companies, patients, and legal representatives to arrange and confirm physician participation.
- Monitor upcoming depositions and trial dates, identifying scheduling conflicts and working with all parties to resolve them.
- Prepare and distribute appointment confirmations, scheduling notices, instructions, and relevant documentation to physicians and outside parties.
- Track changes, cancellations, postponements, and rescheduled legal matters while keeping all parties informed.
- Coordinate travel arrangements and logistics for physicians attending depositions, trials, conferences, and other professional engagements, when necessary.
- Maintain accurate records of IME appointments, deposition dates, trial schedules, CME activities, and physician commitments.
- Assist with gathering and organizing medical records, case materials, reports, and other documentation needed for IMEs, depositions, and trial preparation.
- Follow up on outstanding scheduling requests and ensure deadlines and time-sensitive legal obligations are met.
- Maintain confidentiality and handle sensitive medical, legal, and physician information in accordance with office policies and applicable privacy requirements.
- Prepare and send invoices for IMEs, depositions, trial appearances, medical-legal consultations, and other physician services.
- Track outstanding invoices and follow up with attorneys, law firms, insurance companies, and other clients regarding payment status.
- Manage and monitor incoming payments, ensuring payments are accurately applied to the appropriate physician, case, or service.
Qualifications:
- High School Diploma or general education degree (GED).
- Excellent telephone etiquette and communication skills (written and verbal)
- Basic computer skills (Microsoft Office Suite, general EMR knowledge, payer website)
