JOB SUMMARY

Assists the legal team with researching and analyzing pertinent law and legal documents. Researches and remains aware of any regulatory changes. Responsible for preparing and submitting required compliance reports (Affirmative Action Plans, EEO-1, Vets 4212). Also works with Legal, Asset Protection, Safety, Workers’ Compensation, and Compliance, analyzing overall statistical data to recommend, design, and/or implement program changes and cost savings measures for Goodwill of the San Francisco Bay (GSFB) AND Goodwill of Central and Northern Arizona (GCNA) and its affiliated entities. Manages litigation files and vendor contract processes.

Essential Functions and Responsibilities:

Assists with discovery and investigating facts through collecting information such as financial, legal, compliance, regulatory, employment, medical or other records and provides historical reference by developing and utilizing filing and retrieval systems; documents and maintains evidence.
Resides within California and is willing to work remotely for both Arizona and San Francisco Bay Area.
Monitors and examines Equal Employment Opportunity Commission (EEOC), Department of Labor (DOL), and general litigation claims brought against the company, in order to evaluate potential risk factors and recommend mitigation efforts; assists in defending claims as necessary.
Reviews, tracks, and manages legal agreements through ensuring routing of legal forms to appropriate parties.
Maintains legal files and databases, schedules meetings and coordinates correspondence.
Exercises independent judgment in investigating legal claims; including conducting witness interviews in order to obtain information about legal issues or claims.
May file other legal documents.
Builds relationships internally and collaborates effectively on cross-functional teams.
Reads, researches, reviews, verifies and routes correspondence, reports, and legal documents; drafts letters and documents; collects and analyzes information; coordinates preparation of charts, graphs, and other material; files annual reports when needed.
Assists in the selection and implementation of contract management, document management, and claims management software, exercising independent judgment to advise regarding ideal specifications for each that will maximize operational efficiency.
Assists with management of contract lifecycle, including contract review, tracking, renewal and expiration of contracts using the Contract Management System.
Assists with Commission on Accreditation of Rehabilitation Facilities (CARF) and other certification compliance programs, ensuring GCNA meets all necessary requirements.
Prepares PowerPoint presentations and materials, as needed.
Coordinates project-based work, such as Affirmative Action Plans, EEO-1, Vets 4212, and Pavilions.
Partners with Asset Protection, Safety, and other departments to ensure compliance.
Adopts and becomes a “master user” of technology enhancements that improve performance of the Legal department.
Updates job knowledge by participating in educational opportunities; reads professional publications; maintains personal networks; participates in professional organizations.
Enhances departments’ and organization’s reputation by accepting ownership for accomplishing new and different requests; explores opportunities to add value to job accomplishments.
As needed, conducts trainings related to EEOC to all divisions of GCNA.

Minimum Qualifications (Education, Experience, Skills):

Minimum of 10 years’ experience as an Administrative Professional or Paralegal in a corporate or law firm/department setting, preferably with VP level and above.
Experience working with California Law and understanding of California Law.
Complex litigation management is strongly preferred.
Must type a minimum of 60 words per minute.
Must be highly proficient in Microsoft Word, Excel, PowerPoint and Outlook.
Strong written, verbal, and interpersonal communication skills, including electronic media and e-mail.
Ability to read, edit, and interpret complex documents, both electronically and in hard copy, in order to create a clear audit trail.
Ability to work independently on assigned tasks, as well as to accept direction on given assignments.
Ability to multi-task effectively in a fast-paced environment, and deal with frequent changes, delays, or unexpected events.
Manages time well, meets deadlines, and prioritizes multiple tasks with high attention to detail and accuracy.
Demonstrates high level of professionalism and relate comfortably and professionally to people in all levels of the organization.
Strong ability to organize and maintain hard copy and electronic documents, files and information.
Exercises discretion and always maintains high level of confidentiality by having the ability to identify and hold sensitive, financial, proprietary, and/or attorney-client privileged information in strict confidence.
Must be able to quickly acquire a thorough knowledge of policies and procedures and understand the mission, vision and culture of the organization.
Ability to pass a background check and drug screen, where applicable for position.
Ability to speak and read English proficiently.
