About the Role
As a Client Intake Specialist, you’ll serve as the first point of contact for prospective clients, playing a key role in educating families, qualifying leads, and guiding them through the intake and onboarding process. You’ll collaborate closely with our referral sources ensuring their clients’ needs are met quickly & efficiently, maintaining meaningful business relationships.
The ideal candidate for this role will be empathetic, persuasive, and detail-oriented, with a strong ability to build trust, communicate clearly, and move prospective clients through a thoughtful and supportive decision-making process.
Job Duties
Serve as the first point of contact for inbound calls, web inquiries, and referrals; engaging professionally with a welcoming demeanor
Educate prospective clients / families and referral sources on available services and programs;
Qualify leads and manage the pipeline; conducting timely follow-up calls and email to support conversion
Meet assigned conversion metrics; ensuring a steady flow of new clients
Maintain relationships with & engage referral sources through inside sales tactics; supporting outreach through email campaigns and phone outreach
Accurately track and report activity metrics, conversion rates, and sales performance
Maintain up-to-date client records in CRM and care systems (Alayacare, Athena)
Provide administrative support, including backup coverage for the Front Desk/Executive Assistant
Qualifications
2+ years of experience in managing intake or related role within healthcare field required
Bachelor’s degree in Business, Healthcare Admin, Nursing, Marketing, Communications, or related field preferred
Proficiency with Microsoft Office Suite (Word, Excel) and CRM tools
Excellent verbal and written communication skills
