Administrative Assistant/Notary to Judge(s)
Overview:
The Metropolitan Tribunal is the Ecclesiastical Court of the Archdiocese of New York and is charged with the administration of justice under the leadership of the Vicar General, as a court of first instance and as an appellate court, for matters of the public good brought before the Church. Although most cases brought before the Tribunal involve questions of marital nullity, the court also acts as the competent forum for other issues, including penal matters.
The Administrative Assistant/Notary to Judges(s) works under the direction of the Judge and the Moderator of the Tribunal as each case requires. will provide administrative, clerical, and legal assistant support to the Tribunal Judge(s). Acting as a Notary, this role functions as a legal assistant to the Tribunal and to the Tribunal Judge(s). In addition to the skills of an assistant, this position is expected to learn about canon law to facilitate the various canonical procedures for which the Tribunal is responsible. This position must work harmoniously with others and assume additional responsibilities as needed.
Reports to: Moderator of Tribunal
Responsibilities:
Process marriage cases and other canonical cases according to the requirements of canon law and the practice of the Metropolitan Tribunal.
Act as Notary for all formal testimonies taken.
Assist the Judge(s) with scheduling and correspondence.
Transcribe and type testimonies when necessary.
Prepare letters and decrees for cases and track their progress using Canonical, the Tribunal’s case management system.
Ensure accuracy, completeness, and professionalism of all materials produced.
Answer the telephone in a courteous manner and assist clients when necessary.
Deal with difficult individuals in a professional, calm, attentive, and firm manner.
Other administrative tasks and special projects, as assigned.
Education, Experience, and Skills:
Bachelor’s Degree in an administrative or legal field is preferred.
Certified Notary Public is a plus, but not required.
Bilingual English/Spanish is preferred. Fluency in Italian, Albanian, or Polish is a plus.
Ability to transcribe recorded testimony, or willingness to learn and become proficient this skill is required.
Highly proficient in MS Office Suite, especially Word & Excel.
Ability and willingness to learn various computer-based systems is required.
Working knowledge of, and firm commitment to, the teachings of the Church regarding marriage.
A firm commitment to the administration of justice with charity in the Church.
Ability to maintain confidentiality is required.
Knowledge of, or willingness to learn the relevant canon law of the Tribunal is required.
Excellent analytical, verbal and written communication, and organizational skills required.
A courteous manner and sensitivity to the needs of those who approach the Tribunal.
Flexibility and willingness to assist others in the office.
Work harmoniously and in a calm manner.
Please note: This position’s work location will relocate to St. Joseph’s Seminary & College located at 201 Seminary Ave, Yonkers, NY 10704 sometime between April and July 2025.
This position is considered full-time, non-exempt, and eligible for overtime.

Pay: $28.50 – $30.00 per hour
