The Administrative Assistant serves as a key administrative resource responsible for managing sensitive information, coordinating projects and documentation, supporting reporting efforts, maintaining records, tracking deadlines, and ensuring follow-through on critical departmental processes.
Responsibilities
- Provide comprehensive administrative support to department leadership, ensuring efficient execution of compliance, documentation, and operational initiatives
- Coordinate compliance-related projects, audits, reviews, certifications, accreditation activities, and other documentation-intensive processes from initiation through completion
- Track deadlines, deliverables, reporting requirements, and follow-up activities to ensure timely completion of departmental objectives
- Maintain confidential files, records, reports, and correspondence in accordance with organizational policies and document retention requirements
- Coordinate the collection, organization, and verification of information from internal departments and external stakeholders
- Prepare, proofread, and distribute reports, meeting materials, presentations, correspondence, and other business documentation
- Manage calendars, schedule meetings, prepare agendas, record meeting notes, and track action items through completion
- Maintain databases, tracking logs, and document management systems to support reporting, compliance, and operational needs
- Assist with records management, file digitization, policy documentation, and process improvement initiatives
- Support internal reviews, audits, investigations, risk management activities, and other projects requiring detailed documentation and coordination
- Serve as a liaison with employees, vendors, consultants, attorneys, auditors, regulators, and other external stakeholders as needed
- Monitor administrative processes to ensure accuracy, consistency, confidentiality, and compliance with established procedures
Qualifications
- Bachelor's degree or equivalent experience
- 4+ years of administrative support experience in a professional office environment.
- Experience supporting legal, compliance, risk management, human resources, employee relations, audit, operations, or other functions involving confidential information.
- Demonstrated ability to coordinate complex projects and processes involving multiple stakeholders, deadlines, and documentation requirements.
- Experience supporting audits, compliance reviews, certifications, investigations, regulatory filings, accreditation processes, or similar initiatives is highly desirable.
- Strong written communication, proofreading, and document preparation skills.
- Strong interpersonal, customer service and communication skills
