Overview

Joshua K. Martin, Attorney at Law, is seeking a skilled and organized Legal Assistant/Receptionist to support the attorney in delivering high-quality representation to clients. This role combines front-office responsibilities with traditional legal assistant duties, requiring a proactive, detail-oriented individual with excellent communication skills and a strong ability to multitask. Proficiency with Apple computers and Microsoft Office is an absolute requirement.

Key Responsibilities

Front Desk Management: Serve as the first point of contact for clients and visitors, greeting them professionally, managing incoming and outgoing mail, and maintaining a tidy and welcoming reception area.
Telephone and Email Monitoring: Answer and screen telephone calls, respond to inquiries or direct them to the attorney as appropriate, and monitor the firm’s email inbox, flagging urgent messages and drafting responses as directed.
Scheduling and Coordination: Coordinate meetings, telephone calls, and court appearances for the attorney, managing the calendar to avoid conflicts and ensure timely reminders. Arrange conference room bookings or virtual meeting logistics as needed.
Document Preparation and Management: Assist in drafting, proofreading, and formatting legal documents, correspondence, and pleadings under the attorney’s direction. Maintain organized physical and digital filing systems for client records and case materials.
Client Support: Communicate with clients to gather information, provide case updates as instructed, and ensure a positive client experience. Schedule client appointments and follow up on outstanding documentation.
Administrative Duties: Perform general office tasks, including data entry, billing assistance (e.g., preparing invoices or tracking time), ordering supplies, and managing office equipment maintenance.
Technology Management: Utilize Apple computers, macOS software (e.g., Mail, Calendar, and Preview), and Microsoft Office tools (e.g., Word and Excel) proficiently to complete tasks. Troubleshoot minor technical issues or liaise with IT support when necessary.

Qualifications

Education and Experience: High school diploma or equivalent required; associate’s or bachelor’s degree preferred. Prior experience as a legal assistant, paralegal, or administrative assistant in a professional setting is a plus.
Technical Skills: Proficiency with Apple computers, macOS, and Microsoft Office (adapted for Mac) is a requirement.
Communication Skills: Good verbal and written communication skills, with the ability to interact professionally with clients, court personnel, and opposing counsel.
Organizational Skills: Strong attention to detail and the ability to prioritize tasks in a fast-paced environment. Experience managing multiple deadlines and maintaining confidentiality is essential.
Interpersonal Skills: Friendly, approachable demeanor with a client-focused attitude. Ability to work independently and collaboratively with the attorney.
Legal Knowledge: Basic understanding of legal terminology and procedures is preferred but not required; willingness to learn is essential.

Additional Requirements

Ability to maintain strict confidentiality regarding client information and firm matters.
Flexibility to adapt to the evolving needs of a solo practice.
Physical ability to perform tasks such as lifting files or packages up to 20 pounds and sitting/standing for extended periods.

Compensation and Benefits

Wages: Competitive and commensurate with experience (range: $19-21/hour).
Benefits: Paid Time Off.
Work Schedule: Monday–Friday, 9:00 AM–5:00 PM, with occasional flexibility required for urgent client needs or deadlines.
