We are seeking a highly organized and proactive Witness Coordinator to join our team. In this vital role, you will serve as the primary point of contact for witnesses involved in legal proceedings, ensuring their needs are met with professionalism and efficiency. Your energetic approach will help facilitate smooth communication between witnesses, legal teams, and external agencies, contributing to the integrity and success of our legal operations. Duties

  • Coordinate witness scheduling for court appearances, depositions, and interviews, ensuring timely attendance and adherence to procedural requirements
  • Prepare and distribute witness instructions, documentation, and case materials with clarity and accuracy
  • Manage all aspects of witness communication, including follow-up inquiries, updates, and logistical arrangements
  • Maintain detailed records of witness interactions, case files, and related documentation using legal case management systems such as PCLaw and iManage
  • Assist with the preparation of legal documents related to witness testimony and support the legal team during trial or deposition proceedings
  • Conduct interviews with witnesses to gather relevant information while maintaining confidentiality and professionalism
  • Support the legal team with administrative tasks such as data entry, filing, document review, and proofreading to ensure accuracy and compliance

Experience

  • Proven experience in legal support roles or as a paralegal with familiarity in various areas of law including estate planning, environmental law, family law, civil litigation, workers’ compensation law, personal injury law, tribal law & regulations, patent law, securities law, landlord-tenant law, immigration law, and procedural law knowledge
  • Strong project management skills with the ability to handle multiple cases simultaneously while maintaining attention to detail
  • Proficiency in legal research tools such as LexisNexis and Westlaw; experience with legal research and writing is highly desirable
  • Familiarity with document management systems like iManage and document review processes within litigation support environments
  • Excellent organizational skills paired with effective communication abilities—both written and verbal—are essential for success in this role
  • Demonstrated ability to handle confidential information discreetly while providing executive administrative support when needed
  • Experience using Microsoft Office Suite (Word, Excel) for drafting documents and managing data efficiently
