The pitch

I run a business that’s really two things wearing one hat: a law practice (M&A, tax, business/corporate work) and a content engine (a newsletter, social, and courses on Kajabi). I have more ideas and obligations than hours, and I need a right-hand person who takes things off my plate and runs with them — not someone I have to hand a checklist to every morning.

If you’re the kind of person who notices the thing that’s about to fall through the cracks and quietly handles it before I even ask — keep reading.

The honest version (good news / bad news)

Bad news first:

  • Nothing is documented yet. It’s all in my head. Early on, part of your job is pulling it out of my head and building the systems as you go. If you need everything spelled out before you can move, this will frustrate us both.
  • The work is a mix. Some days it’s calendar and email, some days it’s chasing a client signature, some days it’s getting the newsletter out. Variety is the job.

Good news:

  • Huge autonomy. I don’t want to micromanage — I want to hand you an outcome and get out of the way.
  • You’ll touch the whole business — legal ops and marketing — so you’re never boxed into one lane.
  • Near full-time and stable. I’m looking for a long-term home, not a gig.
  • I’ll train you on the legal side. You don’t need a law background — you need judgment, discretion, and the will to figure things out.

What you’ll own

The core four (this is the heart of the job)

  • Note-taking — capture thorough, reliable notes on every meeting and call, and get them where they need to go. You’re punctual and nothing gets lost.
  • Meeting prep — make sure I walk into every meeting prepared: agenda, background, documents, context.
  • New-matter kickoff — when a new deal or client comes in, gather and organize the first round of info and documents so nothing stalls at the starting line.
  • Phone & intake — answer inbound calls, capture new-client intake, and route things to the right place. No lead sits in limbo.

Admin & operations (you’ll take these off my plate as you ramp)

  • Run my inbox and calendar — triage, schedule, make sure nothing slips
  • Send invoices and chase down follow-ups, signatures, and loose ends
  • Help build our SOPs and systems as we go (Google Drive, ClickUp, Egnyte)

Legal / client support (trained on the job)

  • File set-up and file closing (alongside our team)
  • Matter tracking: keeping files, tasks, and deadlines organized and moving
  • Prepping and formatting documents, proposals, and engagement letters

Marketing & content (as capacity allows)

  • Help keep the newsletter, social posts, and Kajabi content shipping on schedule
  • Light coordination and formatting — you don’t have to be the writer, you keep the machine running

You’ll thrive here if…

  • You anticipate. You see what’s coming and handle it before I ask. (This is the single most important trait for this role.)
  • You take ownership. Give you an outcome, and you make it happen without hand-holding.
  • You’re discreet. You’ll see confidential client and legal information and treat it like it’s your own name on the file.
  • You’re tech-fearless. New tools (ClickUp, Kajabi, Gmail, Google Workspace) don’t scare you — you learn them fast.
  • You nail details. People compliment your attention to detail. You catch the typo, the wrong date, the missing attachment.
  • You’re a strong communicator in writing and can hold a warm, professional tone with clients.
  • You want a home, not a hustle. You’d rather go deep with 2–3 core clients than juggle ten.

Nice-to-haves (not required)

  • Prior experience in a law firm or professional-services setting
  • Experience with Kajabi, ClickUp, or email marketing tools
  • Copywriting/editing chops

The details

  • Position: Near full-time (~30–40 hrs/week)
  • Rate: $12-$18/hr USD
  • Location: 100% remote. Preference for within ±3 hours of Central time so we overlap.
  • Start: As soon as we find the right fit — hiring this month.
  • Growth: Real long-term potential as you take on more ownership.
