Position Overview:
We are seeking a fully bilingual (English & Spanish) Legal Administrative Assistant to provide comprehensive administrative and clerical support to our legal team. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive legal matters efficiently and confidentially.
Key Responsibilities:
Organize and maintain legal documents, case files, and the firm’s law library.
Draft, proofread, and prepare legal documents such as summonses, complaints, motions, and subpoenas.
Manage schedules, including coordinating appointments, meetings, and court hearings.
Communicate with clients, court officials, and witnesses to coordinate case-related activities.
Perform legal research to support attorneys, including reviewing legal publications and database searches.
Prepare and process invoices, track expenses, and manage billing records.
Assist attorneys with collecting information, including employment, medical, and other client records.
Handle incoming and outgoing correspondence, including emails, phone calls, and physical mail.
Make travel arrangements for attorneys and coordinate accommodations as needed.
Provide general office support, including photocopying, filing, and maintaining records.
Attend legal meetings, depositions, and client interviews, taking detailed notes as required.
Qualifications:
Fully bilingual: Fluent in English and Spanish (spoken and written).
Associate’s degree or certification in Legal Studies, Office Administration, or a related field.
Minimum of 3 years of experience as a legal administrative assistant or in a similar role.
Strong understanding of legal terminology, procedures, and documentation.
Exceptional organizational and multitasking skills, with a keen attention to detail.
Excellent written and verbal communication skills in both English and Spanish.
Ability to handle sensitive and confidential information with professionalism.
