Tax Administrative Assistant – Boston, MA
We are seeking candidates for a Tax Administrative Assistant position in a prestigious law firm located in Boston, MA. The Tax Administrative Assistant will be responsible for maintaining tax files, printing and processing prepared tax returns, reconciling tax payments, and utilizing and maintaining tracking systems. The ideal candidate will have 2+ years of tax administrative experience within a professional services environment.
This is a contract-to-hire position that will pay $30-35/hr (depending on experience). This position requires all candidates to be onsite in their Boston office.
Responsibilities:
- Maintain tracking systems for fiduciary tax returns in OneSource Trust Tax, coordinate distribution of returns to trustees for signature, and follow up as needed to ensure timely filing.
- Process and file tax returns with various jurisdictions and distribute tax documents to beneficiaries and their accountants.
- Maintain tracking systems in CCH Access for multiple tax return types, including Individual, Fiduciary, Partnership, Foundation, Estate, and Gift Tax.
- Reconcile, track, and submit quarterly estimated tax payments using Excel.
- Establish new client files and maintain accurate, up-to-date tax records.
- Assist with the preparation of IRS correspondence and engagement letters.
- Scan and process incoming mail promptly, including tax notices and refund checks from tax authorities.
- Print, assemble, and process completed tax returns for delivery to clients.
- Maintain reliable attendance and effectively manage multiple priorities in a deadline-driven environment.
Qualifications:
- Bachelor’s degree required.
- 2+ years of relevant tax administrative experience within a professional services environment.
- Proficiency with Microsoft Office, including Outlook, Word, and Excel; familiarity with VLOOKUP/XLOOKUP is a plus.
- Strong proofreading and basic editing skills, with the ability to review routine tax department correspondence.
- Highly organized and detail-oriented, with strong judgment and administrative skills in a deadline-driven environment.
- Ability to manage frequent interruptions while effectively prioritizing and completing multiple tasks.
- Strong written and verbal communication skills, with the ability to interact professionally with tax accountants, attorneys, and internal departments.
- Flexibility to work irregular hours and overtime during peak tax seasons.
- Experience with OneSource Trust Tax or CCH Access Tax is a plus.
