Job Duties:
The Office of the Commonwealth’s Attorney is committed to pursuing justice through the fair and ethical prosecution of criminal offenses in the City of Virginia Beach. Our office plays a critical role in ensuring public safety and upholding the laws of the Commonwealth of Virginia.
We are currently seeking qualified candidates to fill two part-time Legal Information Clerk positions. Both roles require individuals who are highly organized, detail-oriented, and motivated to contribute to the effective operation of the criminal justice system. One position will focus primarily on records management and general administrative support (schedule is Wed, Thurs, Fri from 8:00-4:30). The second position will involve front-desk responsibilities, including receptionist duties, opening case files, conducting criminal history checks, and providing additional clerical support as needed (schedule is to be determined).

Primary Responsibilities:
Enter and update case-related data in our electronic case management system
Maintain, organize, and archive criminal and civil case files according to established records retention and destruction policies
File records using terminal digit filing systems
Generate and review internal reports
Perform clerical tasks such as copying, scanning, filing, answering phones, and distributing documents
Follow all office and records management policies and procedures
Coordinate with other staff to ensure timely and accurate recordkeeping
To be successful in this role, candidates must:
Demonstrate excellent organizational and multitasking skills
Possess strong attention to detail and accuracy
Be able to comprehend and follow complex written and verbal instructions
Exhibit reliability, initiative, and a professional demeanor
Be able to work both independently and collaboratively in a team setting
Have the ability to sit and operate a computer terminal for extended periods (up to 6 hours per day)
Be capable of lifting boxes or files weighing up to 50 pounds
Preferences:
Academic degree in criminal justice or similar field
Prior professional experience with a Virginia Court or a Commonwealth’s Attorney’s Office
Background in the criminal justice field
Familiarity with or certification in NCIC/VCIN for running criminal records
Proficient data entry skills and attention to data integrity
Experience working with legal or law enforcement databases and systems (e.g., CMS, eProsecutor, PISTOL, Axon Records)
Previous clerical experience, including file organization, copying, and phone handling
Experience working with file organization and Records Management.

Minimum Requirements:
MINIMUMS: High school or GED plus three (3) years experience in fields providing the required knowledge, skills, and abilities, such as database management, or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.
Special Requirements: All employees may be expected to work hours in excess of their normally scheduled hours in response to short-term department needs and/or City-wide emergencies.
