The Town of Mantua is seeking a highly organized and detail-oriented individual to join our team as a Court Clerk. This is a part-time position with a focus on providing exceptional customer service and performing various clerical duties to support the activities of the Justice Court.

Qualifications:

– High School Diploma or equivalent required

– 1+ years’ experience in customer service required

– 1+ years’ experience in data entry required

– 1+ years’ clerical training and experience required

– Must be available on Wednesdays from 9 AM to 5 PM

– Ability to prioritize work based on department and production objectives

– Strong customer service skills and ability to facilitate a welcoming environment

– Positive attitude and ability to work with a variety of different people at various levels

– Ability to follow oral and written instructions

– Strong multi-tasking and problem-solving skills

– Strong analytical, decision-making, and influence/interpersonal skills

– Intermediate skill level with MS Word, PC or laptop, email, and internet

– Successful candidates must pass a pre-employment drug test, a background screen, and have a current Utah driver’s license with a good driving history. Employment verification with form I-9 is also required.

Responsibilities:

– Under the direction of the Events & Operations Director, perform a variety of routine to complex clerical duties as needed to maintain comprehensive records, reports, accounts, and files related to activities of the Justice Court.

– Perform the functions of a cashier, including accepting, posting, processing, and verifying payments, credits, and other financial transactions.

– Serve as a receptionist, answering calls from residents regarding their inquiries and transferring them to appropriate staff. Exceptional phone etiquette is required.

– Perform accounting functions, balance daily transactions, and complete month-end processes and reconciliations.

– Maintain comprehensive index files, forms, reports, and records.

– Provide clerical support to the Judge in and out of court.

– Calculate fine payment schedules for the Judge.

– Schedule arraignments, pre-trial, and other pre and post-judgment hearings, as well as jury and non-jury trials. Prepare and maintain the court calendars of these events, keeping the Judge advised of all court schedules and delinquent cases.

– Prepare, assemble, and check materials for each court session. Establish and route case files. Prepare and route notices according to required procedures.

– Maintain follow-up and alternate order reports.

– Maintain official court dockets and associated papers. Post official entries reflecting pertinent facts, financial records, and judgments related to the disposition of each court case.

– Issue stay dates, bench warrants, pick-up orders, commitment orders, process expungements, and enter information, pleadings, motions, summons, subpoenas, judgments, and orders made by the Court.

– Update weekly court proceedings and maintain and schedule trial notices.

– Coordinate and track community service ordered by the Judge. Coordinate and assign community service workers with City departments.

– Maintain liaison and communications with agencies associated with the criminal justice system, such as the Sheriff’s warrants division, bail bondsmen, prosecuting attorney offices, probate counselors, public defenders, adult probation, Justice Court, BCI, and City offices.

– Arrange prisoner transportation to and from court.

– Perform follow-up work subsequent to court sessions. Issue judicial orders and post information generated during court sessions to case files. Prepare and route certified copies.

– Open, review, and distribute mail for the Justice Court.

– Other responsibilities as assigned.

Benefits:

– Part-time position, Monday through Friday, 9 AM until 1 PM, with extended hours on Wednesdays (9 AM to 5 PM).

– Competitive hourly wage of $18.00 – $20.00, dependent upon education and experience.
