Job Title: Executive Assistant to the Administrative Attorney

Position Summary:

The Executive Assistant provides administrative support to the Administrative Attorney of a busy and high-volume law office. This role will coordinate and manage the executives schedule, prepare and organize important materials and reports, support executive meetings and the preparation of meeting materials. This role requires the ability to manage multiple assignments effectively, exemplary time management skills, handling highly sensitive and confidential legal, personnel, financial and law firm institutional information while exercising discretion and professionalism. The successful candidate must have excellent analytical, organizational, verbal communication, writing, and computer skills. A background in legal, corporate or governmental administrative support is preferred.

Job Duties:

· Work directly with the Administrative Attorney (AA) to support all aspects of her daily routine.

· Maintain AA’s calendar, including scheduling meetings, appointments, making travel arrangements while exercising discretion in committing time and evaluating needs.

· Receiving and screening the AA’s correspondence, telephone calls, visitors, answering a variety of question and directing correspondence and calls for resolution.

· Preparing letters and documents relating to routine correspondence or request for the AA’s signature.

· Collecting and analyzing information; initiating communications on behalf of the Administrative Attorney.

· Prepare and maintain client communication and reports at the direction of the AA for client meetings and special events.

· Prepare and maintain reports and communication with the Litigation Attorneys, and other law firm department management staff on behalf of the AA.

· Assist with special projects and events including creating presentations, special reports and meeting materials.

· Maintains client and law firm confidence and protects operations by maintaining confidentiality on all information and projects assigned.

· Maintain electronic files, client and vendor directories.

· Prepare, reconcile expense reports

· Other additional and/or alternative duties as assigned, including supporting other departments or Executives as needed.

Job requirements:

· A minimum 3- 5 years in a legal, corporate, senior administrative support or government relations position;

· Bachelor’s degree preferred;

· Ability to work independently and as part of a team;

· Ability to prioritize and exercises sound judgment;

· Committed to learning the business of the law firm and its clients;

· Flexibility to work overtime and weekends as requested and needed.

Skills/Qualifications:

· Excellent computer skills including the Microsoft Office Suite (Teams, Outlook, Word, PowerPoint, and Excel) and ZOOM

· Exceptional verbal and written communications skills, editing, and proofreading skills

· Detail oriented, resourceful and excellent organization and time-management skills

· Comfortable interacting with attorneys, senior executives and elected officials

· Comfortable working within a team and cultivating productive work relationships across the firm

Job Type: Full-time

Pay: $60,000.00 – $65,000.00 per year
