We are seeking a dynamic Administrative Coordinator to join the team that supports the Finance Director’s office as the Clerk to both the Board Audit Committee and the Joint Audit Committee. The position will work collaboratively with department director’s, Internal Auditors, the County Attorney’s Office and a Business Services Specialist position and independently on a wide range of daily tasks and broader goals.

The position will have two main function areas: 1) Support the County’s Board and Joint Audit Committees, and 2) work as part of the team that provides administrative support to the Chief Financial Officer, two Deputy Directors, and 8 other Finance divisions within the department.

About This Role:
You will coordinate and manage quarterly Board Audit Committee Meetings and semi-annual Joint Audit Committee Meetings. Work in conjunction with the CFO, County Attorney, CXO, elected officials and auditors. You will also be responsible for coordinating office and administrative support functions and events for the Finance Department.

As the Administrative Coordinator you will:

Coordinate calendars and schedules;
Reserve conference rooms, set up and coordinate various events and meetings;
Create and disburse agendas;
Take minutes, record votes and finalize documents;
Run and review basic financial reports;
Update internal and external websites;
Answer phones and greet visitors;
Order food, purchase supplies, maintain memberships and reconcile the office P-Card;
Make travel arrangements;
Create and edit correspondence;
Provide back-up as needed while prioritizing in a fast-paced environment.

Minimum Requirements:
High School diploma or G.E.D. with 3 years’ executive administrative support experience.

Preferences:

Experience with general office support duties and procedures.
Experience working with committees and boards
Experience working with high-ranking and elected officials
Experience taking meeting minutes, recording votes and ensuring members of the committees have accurate packets available for them on the day of the meeting
Excellent verbal and written communications skills
Intermediate to advanced experience of SharePoint, updating websites, MS Office programs & Adobe

Special Requirements: Must pass a background check.

Work Schedule: Hours are 8:00 am – 4:30 pm Monday – Friday with possible telework options (37.5 hours/week).

Starting Salary Range: $34.51-40.69/hr
