Job Summary:
The Law Offices of Shan Potts is seeking a bilingual (English and Spanish) In-Office Coordinator to manage the daily operations of our law firm. This role is essential for ensuring a smooth workflow, maintaining excellent client service, and facilitating communication between in-office and remote teams. The ideal candidate will have strong leadership skills, a deep understanding of legal office procedures, and the ability to communicate fluently in both English and Spanish to serve our diverse client base effectively.
Key Responsibilities:
Office Administration and Management:
Oversee daily administrative operations, including scheduling, correspondence, and maintaining office facilities.
Maintain office calendar.
Ensure all communications are effectively controlled and managed.
Develop and implement efficient office workflows to enhance productivity.
Ensure compliance with legal regulations and document retention policies.
Client Relations and Communication:
Serve as the primary point of contact for clients, providing a welcoming and professional experience.
Manage client inquiries and coordinate with attorneys and staff to address concerns promptly.
Facilitate communication with Spanish-speaking clients, ensuring their needs are clearly understood and addressed.
Document and Information Management:
Oversee the intake process for new clients, ensuring documentation is accurately completed and filed.
Maintain and secure digital and physical records according to firm policies.
Provide training and support for staff in document management and office equipment.
Team Leadership and
Collaboration:
Supervise and support office staff, ensuring adherence to policies and workflows.
Act as a liaison between in-office and remote teams to ensure seamless communication and task delegation.
Coordinate training and onboarding for new team members.
Technology and Workflow Optimization:
Utilize Microsoft 365 tools (Teams, SharePoint, Power Automate) to streamline operations and improve task tracking.
Implement and manage workflows for critical activities, such as client follow-ups and appointments.
Compliance and
Risk Management:
Ensure adherence to legal standards and firm policies, conducting regular audits and identifying areas for improvement.
Qualifications:
Languages: Proficiency in English and Spanish (written and verbal) is required.
Education: Bachelor’s degree in Business Administration, Legal Studies, or a related field. Certifications in office management or legal administration are a plus.
Experience: Minimum of 3-5 years in office management or administrative roles, preferably in a legal or professional services environment.
Skills: Strong organizational and multitasking abilities. Proficiency in Microsoft 365 and legal practice management software. Exceptional written and verbal communication skills in both English and Spanish.

Preferred Qualifications:
