JOB SUMMARY

Provides a wide range of administrative duties to support the Sr. Director of Health & Welfare Operations, the Senior Director of Benefits Systems, and the Operations Department. Manages various calendars, prepares and distributes correspondence, coordinates travel arrangements, organizes meetings, and performs general administrative duties. Also responsible for the creation and distribution of Member Praise Letters and Appeal Response Letters and handles other special projects as needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Manages and maintains the master calendar for the Senior Director of Health & Welfare Operations and Senior Director of Benefits Systems, ensuring all daily, weekly, monthly, quarterly, and annual appointments are entered accurately and without schedule conflicts.
Schedules and organizes all meetings and conference calls, prepares agendas, takes meeting minutes, and provides all required materials to the Senior Director of Health & Welfare Operations and Senior Director of Benefits Systems in advance of meetings.
Main point of contacts for all department room reservations, including vendor meetings. Reserves conference lines as requested.
Coordinates travel arrangements for the Senior Director of Health & Welfare Operations, Senior Director of Benefits Systems, and other Department Directors as requested including researching and confirming airline flights, making hotel reservations, arranging ground transportation, and completing conference registrations. Creates and prepares itineraries and other appropriate materials needed during periods of travel. Processes and submits expense reports for travel and other miscellaneous expenses.
Prepares correspondence and other materials, including Member Praise Letters and Appeal Response Letters, which may require transcription, tracking of documents, and coordination of delivery.
Responsible for the Concord office general supply orders, including procurement, budget adherence, and organization of supplies.
Responsible for the coordination and production of the quarterly LLC Operations Reports.
Performs general administrative duties including answering phones, managing e-mail, processing incoming and outgoing mail, filing, taking meeting notes and minutes, and ordering office supplies.
Responsible for the tracking and timely completion of legal documents (Subpoenas, Requests of Information, Department of Labor Letters, and Class Action Settlements).
Works closely with Executive Assistant and Board Communications Coordinators, assisting with when needed. Provides coverage for Board desk and related tasks.
Coordinates a wide variety of special projects as assigned.

MINIMUM JOB REQUIREMENTS

Associate’s degree and 3 years of related experience.
A combination of appropriate education and experience may be substituted for the minimum education and experience requirements.
Type a minimum of 50 WPM.

PREFERRED QUALIFICATIONS

Experience with working with various levels of staff within multiple organizations.
Experience with meeting and travel planning and coordination.
Experience with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Adobe Acrobat 9 Pro, , and other applications.

Knowledge of standard office procedures, practices, and equipment
Skill in operation of modern office equipment such as personal computer, facsimile, copiers, scanners, calculators, and telephones.
Interpersonal skills necessary to develop and maintain effective and appropriate working relationships with co-workers, vendors, members, trustees, and union representatives.
Skill in providing high quality customer service, including assessing and resolving customer questions and needs while adhering to customer service guidelines and procedures.
Ability to comprehend, process and apply both verbal and written skills appropriate to the job.
Ability to accurately organize and maintain paper documents and electronic files.
Ability to work effectively in a team environment.
Ability to handle confidential information with discretion and tact.
Ability to detect errors, determine causes, and make corrections as appropriate.
Ability to successfully resolve issues in a timely manner.
Ability to prioritize and work independently on projects with minimal supervision.
Ability to plan, develop and coordinate multiple projects.
Proficiency in English grammar, spelling, punctuation, and simple mathematical functions such as addition, subtraction, multiplication, division, etc.
Proficiency in the use of (or ability to learn) personal computer software or systems applicable to the essential functions of the job, which may include any or all of the following: email/calendar software, internet/intranet browsers, word processing, spreadsheets, database software, and various systems or software used by office (such as automated payroll systems).
